Job Description :

The Role:

This is a varied role for an administrator to support the team of Planners and Paraplanners. The ideal candidate will need to be able to work flexibly to pick up a wide variety of tasks that are required through the day to allow us to provide our clients with the highest standard of service

Outcomes of the Role:

• Preparing documentation for Planners in advance of their client meetings, including requesting valuations and policy details.

• Request specific policy information from product providers, 3rd parties via email, telephone and online.

• Sending Letters of Authority (LOAs) to clients and tracking progress of policy information received.

• Working alongside Paraplanners to ensure they have sufficient policy information to compile advice reports.

• Liaise with providers and Paraplanners to prepare documentation for advice reports.

• Liaise closely with our centralised Financial Planning Administration team regarding new business submissions and ongoing cases. • Responsibility for post-sale process for Edinburgh clients.

• Ad hoc tasks.

• Client contact via letters, emails and telephone.

• Pre-completing forms/documentation for sending to clients.

• Maintenance of client records (on Xplan) to ensure client data is up to date. Completing client workflows and tasks in XPlan in line with company policy.

• Working in line with company compliance processes and documentation requirements.

• Working alongside the investment managers and their teams, coordinating annual reviews for joint investment management and financial planning clients

• Develop and maintain effective relationships with clients, colleagues and 3rd parties.

• Good attention to detail and strong organisation skills.

• Proactive and engaged.

• Excellent telephone manner, listens actively and questions to clarify own understanding.

• Prioritises and makes effective use of time, with flexibility to work in line with the changing needs of the team.

• Ability to work under pressure and meet deadlines.

• Strong team ethic. Works co-operatively and effectively with colleagues to complete tasks and achieve targets.

• Builds strong internal and external relationships.

• Treats others with courtesy and understanding, remains friendly and approachable.

• Experience using Microsoft Office.
