Position Overview
The Warehouse Admin is a hybrid role that bridges HR administrative functions with operational warehouse support. Working closely with both HR and warehouse management, this role ensures efficient workforce coordination, compliance in personnel matters, and smooth day-to-day administrative operations. You will play a key role in ensuring our workforce is well-supported and that operations remain structured and compliant.
Key Responsibilities
Warehouse Operations Support
- Maintain accurate staff rosters and update shift schedules across internal systems.
- Liaise with warehouse supervisors and team leaders to support daily headcount planning.
- Manage and issue PPE, safety gear, and operational equipment (e.g., scanners).
- Support warehouse reporting needs (e.g., attendance logs, shift summaries).
- Maintain and update monthly shift plans in the internal system for agency staff, ensuring accuracy and timely upload of scheduling data.
- Run weekly reports to calculate employee work hours and flag any anomalies.
- Review timekeeping records and identify missed clock-ins or inconsistencies for follow-up.
HR & Administrative Responsibilities
- Facilitate onboarding for new starters, including document verification and induction coordination.
- Act as the first point of contact for agency management—handling recruitment coordination and absence tracking.
- Support HR compliance on-site, including filing, record-keeping, and document control.
- Assist in monthly KPI data preparation and workforce reports for management.
General Office Coordination
- Perform front-desk/reception duties: handling calls, greeting visitors, managing mail.
- Book and organize meetings, prepare agendas, take meeting notes as required.
- Support internal communications within the warehouse via posters, announcements, etc.
Skills & Experience Required
- Proven experience in an administrative or HR support role, preferably in a warehouse or logistics environment.
- Good understanding of warehouse operations and staff scheduling.
- Strong communication skills in English and Mandarin (written and spoken).
- High proficiency in Microsoft Office (especially Excel, Outlook, and Teams).
- Exceptional organizational skills and the ability to multitask in a fast-paced environment.
- Familiarity with WMS and HRIS tools is a plus.
- A collaborative and proactive approach, with strong attention to detail.
