Share Schemes ExecutiveThe RoleAs a Share Schemes Executive at PIB Group, you will support the Group’s Share Schemes and wider governance processes, ensuring accuracy, compliance, and first-class service to the Board, shareholders, and employee participants.You will be responsible for day-to-day share administration, database management, and correspondence with shareholders, as well as providing support on share-related projects and ad hoc corporate initiatives. This role sits at the intersection of Finance, People, Legal, and Governance, providing an excellent opportunity to deepen your experience in employee share ownership and corporate administration.What you’ll be doing:
- Supporting the administration of PIB Group’s share schemes, including share registers, incentive awards, transfers, and liquidity events.
- Maintaining and updating share scheme databases and other systems, ensuring high standards of accuracy and control.
- Preparing correspondence with shareholders and responding to queries in a professional and timely manner.
- Assisting with filings at Companies House and ensuring statutory records are kept up to date.
- Producing reports, reconciliations, and summaries for internal stakeholders and external advisers.
- Liaising with internal teams (People, Finance, Legal, M&A etc) and external partners such as share registrars, legal advisers, and trustees.
- Supporting corporate projects including new share allotments, internal offers, and other group-wide initiatives.
- Monitoring leaver processes, payments, and future budgeting requirements.
- Contributing to process improvements and knowledge-sharing within the team.
What we’re looking for:
- Experience in share schemes, company secretarial work, or corporate administration (experience with employee share plans is highly desirable).
- A proactive, organised, and detail-focused approach, with the ability to manage multiple tasks and deadlines.
- Strong written and verbal communication skills, including drafting letters and reports for shareholders.
- Proven ability to maintain accurate records and implement effective control processes.
- Confidence in working with databases, spreadsheets, and corporate systems (experience with Diligent would be a strong advantage).
- A collaborative mindset and ability to build positive relationships across functions and with external advisers.
- Completion of or working towards a relevant professional qualification, e.g. Certificate in Employee Share Plans or ICSA/CGI modules
