Administrative Support Officer
  • Hourly Rate: £16.62
  • Location: Hybrid
  • Job Type: Temporary (Monday to Friday, 37 hours per week)

We are seeking an Administrative Support Officer to provide efficient and effective clerical, typing, and database support to the Children and Family Services. This role is crucial for maintaining high standards of communication and data management within the department. The successful candidate will be a key point of contact for the public, staff, elected members, and partnership agencies, and must be flexible and cooperative.

Required Skills & Qualifications:
  • Proven experience in line management of staff.
  • Skilled in organising team workloads to meet strict statutory deadlines.
  • Proficient in data interpretation to aid in planning and workload coordination.
  • Experienced in using Excel and other database systems.
  • Strong organisational and communication skills, capable of managing a team and reporting to senior management.
  • Motivational skills for team building and maintaining a positive work environment.
Day-to-day of the role:
  • Organising team workloads, ensuring that strict statutory timescales are met.
  • Experience in the interpretation of data to feed into forward planning and co-ordination, delegation and monitoring of workloads.
  • Accurately enter data onto database systems, maintain logs of data entry, and optimise database processes for quality data entry.
  • Type various reports, correspondence, and documents using word processors and database systems, prioritising tasks effectively.
  • Maintain appointment diaries, arrange meetings, book rooms, and uphold filing systems.
  • Liaise with field staff and linked institutions to obtain and distribute necessary information as directed.
  • Handle incoming and outgoing mail, faxes, and emails, and perform clerical tasks such as filing, photocopying, and shredding.
  • Manage incoming and outgoing telephone calls, facilitate visitor greetings, and ensure efficient functioning of the Service.
  • Assist in the organisation and administration of service and training events, attend meetings, take minutes, and produce newsletters.
  • Use I-procurement for stationery and forms, process orders, and check deliveries.
  • Manage IT/telephone/mobile telephone support logistics for the Service.
  • Maintain an inventory of staff development resources, ICT equipment, and facilities.
  • Process and liaise with various teams and agencies, ensuring prompt delivery and collection of essential documents.
