Overview:We are seeking a proactive and professional Receptionist to join their dynamic team. This role is integral to the smooth running of daily operations and provides essential administrative and front-of-house support. You will be part of a collaborative Business Support team, dedicated to delivering exceptional service and maintaining strong client relationships.
Key Responsibilities:
- Deliver daily front-of-house and reception services for guests and team members
- Welcome clients and prepare refreshments
- Maintain a log of all visitors
- Coordinate and arrange client meetings
- Book meeting rooms across multiple office locations
- Assist with appointment scheduling for team members
- Liaise with clients regarding documentation and queries
- Handle incoming calls efficiently and professionally
- Provide administrative support across departments
- File, scan, and archive client correspondence
- Ensure quality and accuracy of stored files
- Track books, records, and client collection items, including obtaining signatures
- Perform general typing tasks, including email drafting, document formatting, and data entry
- Manage incoming and outgoing post, including sorting, date-stamping, and scanning
- Act as the main point of contact for a satellite office, including printing and posting
- Maintain cleanliness and order in reception and meeting areas
- Keep internal telephone lists updated
- Handle sensitive information with discretion
