Administrative Assistant/Receptionist

We are seeking an Administrative Assistant/Receptionist to join our client, reporting to the Administration Manager. This role involves providing top-notch administrative support to clients and departments, ensuring a professional and excellent administration service is consistently delivered to all stakeholders.
Day-to-day of the role:
- Answer incoming calls, directing them appropriately and taking messages when necessary.
- Greet clients upon arrival and address their queries.
- Prepare refreshments for visitors, order lunches, and maintain cleanliness in meeting areas.
- Manage incoming and outgoing post, including scanning, filing, and distribution.
- Perform various administrative tasks such as producing letters, arranging meetings, scanning documents, and binding documents.
- Handle portal publishing, chase outstanding documents, and assist with portal queries.
- Manage bank letter requests, client verified transaction requests, and send confirmation statement cover letters.
- Produce and follow up on engagement letters, create disengagement checklists and letters, and assist with clearance information requests.
- Submit accounts to Companies House and manage the processing of signed accounts.
- Prepare Year End Board minutes and log client books and records.
- Set up new clients on databases and online portals, including conducting initial checks.
- Handle billing, issue VAT invoices, and assist with billing queries.
- Provide administrative support to partners, directors, and managers, and cover for the PA & Secretary as needed.
- Order stationery and office supplies while managing related costs.
Required Skills & Qualifications:
- Proven administration experience.
- Exceptional organisational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and demonstrate initiative in solving problems.
- Proficient in Microsoft Office applications, including Outlook, Word, and Excel.
