About the role:

We are looking to recruit a highly motivated individual to support the Head of PMO, working with Business Analysts and members of the Product and Development teams to keep multiple projects on track and reaching the key milestones. Your tasks will vary depending on the specific project or activity each day, and you will be responsible for prioritising according to deadlines and other commitments.

This role is ideal for a candidate who is highly organised and enjoys being hands on in a collaborative manner with the wider team and also comfortable working autonomously.

Key Responsibilities:

  • Provide essential administrative support to Head of PMO across multiple products and development releases, this involves supporting to several colleagues simultaneously across numerous projects
  • Maintain project documentation and processes using, Excel trackers, Jira, Confluence and reports for each of the products
  • Proactively schedule, coordinate, prepare, attend and follow-up on internal and external meetings and, take meeting notes and circulate meeting actions to the necessary individuals/teams and monitor progress as appropriate
  • Handle general internal and external email correspondence for the PMO team
  • Collaborating with stakeholders internally to support the PMO team in ensuring milestones in the roadmap and deadlines are met
  • Support the Head of PMO in external meetings with clients (virtual)
  • Other ad hoc duties as agreed with Head of PMO
  • To be informed of and adhere to all Company policies, including but not limited to, HR procedures, Information Security responsibilities and understanding your role in ensuring the standards outlined in the policies are maintained throughout your employment.

About you

  • Strong communicator, confident in virtual and written interactions
  • Confident to facilitate internal meetings where necessary
  • Prior experience in taking and sharing meeting minutes and assigning actions to appropriate individuals is desirable.
  • A flexible and adaptable approach able to adjust to changing priorities
  • High integrity and team spirit, proactively engaging with others and offering support when required
  • Proactive, able to work independently and as part of a team
  • Highly detail-oriented, fast, and accurate with excellent organisational skills
  • Strong organisational and time management skills with the ability to prioritise tasks
  • Proficient in Microsoft Office Suite, MS Teams, SharePoint, and Microsoft 365
  • Comfortable with Excel and willing to enhance skills as required
  • Some experience using Jira, Confluence and Microsoft Power BI would be advantageous
  • Eager to learn and problem solve - be curious!
