We are looking for a Payroll Assistant to join our Rugby based client, supporting the delivery of accurate and timely payroll services for over 800 employees. Payroll Assistant

To support the Payroll Officer in delivering an accurate, timely, and comprehensive payroll and reward service. This includes the administration of two monthly payrolls for over 800 employees.

Key Responsibilities and Accountabilities

Payroll Processing

  • Assist with the end-to-end processing of monthly payrolls.
  • Check, calculate, and process both temporary and permanent payroll items, including timesheets and contractual changes.
  • Manage all new starter and leaver administration.
  • Collate and input absence data and calculate statutory and occupational sick pay.
  • Calculate payments for maternity, paternity, and shared parental leave.
  • Administer monthly pension processes and auto-enrolment.
  • Produce and verify payroll summary reports, BACS files, and nominal account reports.
  • Administer Real Time Information (RTI) submissions and tax code updates.
  • Process payments to third-party agencies for PAYE and pensions.
  • Complete period-end processes and generate payslips (electronic and paper).
  • Administer Attachment of Earnings Orders (AEOs).
  • Process biannual holiday pay on overtime hours.
  • Respond to payroll-related queries from the Accounts Department.
  • Support tax year-end processes, including HMRC submissions and P60 production.
  • Administer salary sacrifice schemes (e.g. pensions, Cycle to Work, car schemes).
  • Generate ad hoc reports following payroll completion.

Compliance and Reporting

  • Act as the first point of contact for payroll and pension queries.
  • Ensure compliance with payroll and pension legislation.
  • Complete annual processes including P11D submissions and pension scheme returns.
  • Maintain accurate records of Benefits in Kind.
  • Submit monthly salary statistics to the Office for National Statistics.
  • Assist with staff medical insurance administration.
  • Support the annual salary review process.

Systems and Administration

  • Act as the primary contact for payroll database administration (e.g. i-Trent).
  • Accurately input payroll data, including personal detail amendments, in line with monthly deadlines.
  • Produce correspondence related to family leave.
  • Maintain filing, archiving, and general administrative duties.

Project Support

  • Support the Head of HR with HR and payroll-related projects as required.
