Job Description :

Based in St Albans, Hertfordshire client is looking for an immediately available Payroll Administrator to join their team on an initial 9-12 month interim contract, with the potential to go permanent. There will be occasional travel to other branches.

This job would suit someone studying towards/qualified in payroll to be responsible for assisting with the payroll for 700 UK employees by providing accurate and timely data as well as the checking of output before payment to the employee is key.

The business has been on a positive growth trajectory from before Covid and this multi-site company plans to expand further in the next few years. One of their recent internal investments was a new HR and Payroll system, Elementsuite, which requires some improvements due to a stop-start implementation process. A major part of this is the payroll side of the system which didn't have a seamless integration so there are improvements that need making quickly to ensure the payroll is run accurately and smoothly each month. The multi-site nature of the business also means many people feed into the payroll process so implementing strong controls into the process is critical.

The successful individual will have experience of working in a team environment and providing training/assistance to other team members. This person will have a strong personality to ensure the implemented processes are robust and adhered to. Good knowledge of Excel is extremely important as the payroll data is exported to Excel to be manipulated as necessary for payroll (Vlookups, Sumifs, Pivot tables). A good working knowledge of HR practices would be beneficial.

Job responsibilities:

  • Ensure all Branch Managers have completed and confirmed time sheets.
  • Communicate all deadlines to Managers and other key stakeholders.
  • Collate information on sickness, absence and overtime ad ensure it is correctly processed and accurately reflected in submissions.
  • Check HR input for new starters.
  • Check HR information for leavers and enter any final adjustments to our payroll system.
  • Administer the payroll system for any company hardship loans, new cycle to work schemes, or other such schemes. Manage and maintain the respective reconciliations.
  • Ensure all AOE data is communicated to the payroll provider and check it is accurately reflected on the payroll.
  • Manage the monthly process of expense claims (on a separate system) and upload to the payroll system.
  • Thoroughly check the first draft of payroll and communicate any amendments to the bureau.
  • Review, check and confirm final payroll is correct, then submit to Group Financial Controller for review and sign off.
  • Check and validate pension output from payroll reports and upload to pension platform to enable the direct debit to be collected prior to deadline.
  • Administer, manage and check the Zero-hours payroll, make submissions to the bureau via the payroll system.
  • Calculate and advise of any ad-hoc payments required outside of the main payroll, for example late starters after the payroll cut off. Ensure this is accurately reflected in subsequent payroll.
  • Assist with month end payroll journals and analytical review.
  • Manage and maintain the payroll reconciliations that feed into the monthly Management Accounts.
  • Assist with the production of P11d/expenses and Benefits in Kind.
  • Provide payroll data for Death in Service and Income Protection policies as required.
