Role Overview
Maternity cover PA/Team Assistant providing full administrative support to the Head of the Department, and 6-8 team members within a busy international team with a focus on travel, finance, and marketing. Ideal start date mid December 2023.
Key Responsibilities
• Providing full administrative support to the Head of Global Residential Consultancy and team;• Supporting management of calendar/ schedule for Team Directors • Coordinating with Legal department for review of any legal documents including but not limited to non- disclosure agreements.• Typing up emails, proofing reports and managing admin for Directors where necessary;• Setting up new clients / jobs on internal systems;• Raising fee invoices and fee share allocation;• Weekly billings updates and monthly review with Accounts department;• Experience of dealing with varying VAT jurisdictions or ability to liaise with the Savills VAT team;• Ensuring that files adhere to compliance regulations and liaise with Legal department;• Dealing directly with clients over telephone and email and taking messages;• Booking and organising international travel, accommodation and car hire;• Liaising with marketing department and GRD to prepare social media assets;• Maintain LinkedIn social media channel with 3 posts per week;• Exercising confidentiality and discretion at all times;• Setting up and maintaining filing and archiving systems for the department;• Filing online and offline, binding reports, printing and mail outs;• CRM management;• Processing expenses for senior team members;• Inputting business cards and contacts into the system;• Proficient at short-hand and minute taking;• Ability to issue compliance checks;• Organising social events for the team – Christmas party, birthday gifts/cards, client events etc.Hours are 9am – 5:30pm with one hour for lunch, remote working available, core office days Tues-Thurs but will be required to be flexible.

PowerPoint• Sprinklr and Canva knowledge preferred but not essential
• Working knowledge of a 2nd European language would be beneficial but not essential

Based in the Savills London HQ, the team has a global coverage and therefore travels extensively throughout the year and maintains excellent links with our international offices across the world.
