Job Description :

Our client based in Hertford is recruiting an operations assistant/ receptionist to join their busy and friendly team. The Operations team is responsible for ensuring that the company runs smoothly and efficiently. The team looks after all aspects of the company’s operations, including Human resources, Compliance, Marketing & Business Development, Premises, Information technology, and Accounts.

This is a fixed-term contract initially working for 6months with a possibility of an extension to 12 months. This role is working 36 hours per week and the hours are 9.00am-5.15pm, Mon-Thurs and 9.00am - 5.00pm on Friday. The role offers a salary of £28,000 (pro-rata), plus a non-contractual profit share bonus scheme (not guaranteed), Auto-enrolment Pension with Royal London (after 3 months), 4 x salary life assurance (after 6 months), £600 contribution to a wellness activity, BUPA healthcare, birthday leave and offsite parking expenses reimbursed.

As an Operations Assistant are primarily responsible for being front of house. You are to work with the members of Operations Team in carrying out your role and assisting with their roles. You will be expected to work as a team member within your area and the company.

Duties include:

Reception

  • Answer the reception telephone in a polite and courteous manner in accordance with protocol guidelines in order to maintain Customer Service Excellence
  • Take messages when appropriate and immediately pass to relevant department.
  • Keep a record of new enquiries
  • Distribute the enquiries in the Enquires inbox and enter these onto the Enquiries spreadsheet
  • Monitor receipt of faxes and immediately notify relevant department of receipt by phone and email
  • Be professional at all times
  • Assist with arranging meetings and greeting attendees
  • Make refreshments for clients when required
  • Ensure that the reception area is tidy and welcoming
  • Ensure that meeting rooms are tidy between meetings
  • Complete the reception diary to display daily meetings and list holidays and absences
  • Receive incoming post and packages including keeping accurate records of hand delivery items, scan the hand deliveries and send to relevant person.
  • Prepare and frank post for collection
  • Prepare DX for delivery

Operations

  • Provide support and assistance with ad-hoc tasks to the Operations Team
  • Take, type, and distribute minutes from the bi-monthly Operations Meeting
  • Assist areas with the scanning, copying, and faxing of documents as required
  • Provide assistance with opening and scanning post when required
  • Help marketing with events when required

General requirements

  • To work within the Operations Team and within the company as a whole wherever your assistance may be required
  • Some Manual work is required for this role, but full Manual Handling Training will be provided
  • To perform any duty or responsibility not specifically referred to above, which may be reasonably requested by your line manager
  • To maintain a high level of confidentiality
  • To deal with colleagues, clients and other external contacts in a friendly, courteous and efficient manner
  • To observe company policies, rules and procedures
