The Team & Focus of the Role

Are you passionate about delivering exceptional client experiences? We are excited to invite applications for an Office & Hospitality Assistant to join our team at our prestigious London office.

At our London office, we provide a diverse range of professional property services, from Commercial Property Management to Agency, Valuations, Business Rates, and more. In this role, you will play a key part in ensuring the smooth operation of our office and enhancing our business reach.

This varied position combines front-of-house reception, hospitality for visitors, general office administration, facilities support, research, event planning and a variety of other roles.

Due to the nature of the position, this is a full-time office-based role with working hours of 08:45am – 17:15pm, Monday – Friday.

Duties will include:

  • Act as the initial point of contact, offering a warm and professional greeting to visitors, clients, and colleagues.
  • Provide hospitality for meetings and events, coordinate refreshments, and maintain well-presented meeting rooms, while adhering to the budget.
  • Providing colleagues with weekly briefings of upcoming meetings, visitors, operational updates and liaising with all parties to ensure minimal disruption to the working day.
  • Oversee office management activities, including ordering stationery, office supplies, and refreshments.
  • Receive, sort, and distribute incoming and outgoing post, deliveries, and courier packages.
  • Coordinate office events, book and manage travel arrangements, including train tickets, accommodation, and event support.
  • Liaise with contractors and service providers for maintenance and support.
  • Conduct health and safety inductions for new starters and visitors, keep accurate records, and promote safety.
  • Social media support role liaising with Business Development & Communications team to share London PR content and help leverage Fisher German’s profile and to help upskill colleagues with posting/interaction on social media (training will be provided)
  • Manage office mainline, answer and direct telephone calls, take messages, and handle general enquiries.
  • Maintaining and updating the London Client Records Management database for London colleagues to ensure accurate and current information.
  • Maintain office tidiness and ensure communal areas are clean and welcoming.
  • Conducting confidential, ad hoc research projects to support the London office

The successful candidate will have...

  • Highly Organised and exceptional service standards.
  • Strong IT skills with experience in the use of Word, Excel, SharePoint and MS Teams
  • Excellent written and verbal communication skills.
  • Experience in office administration and/or hospitality roles, discretion, and attention to detail.
  • Awareness of health & safety and a willingness to undertake inductions (training will be provided).
  • Proven organisational and time management skills, with the ability to prioritise tasks and work under pressure.
