We are recruiting an Office Administrator to join our family run building and refurbishment company based in Cookham. We are looking to speak with candidates who are polite, professional and will enjoy a varied role with a friendly team in a busy and demanding environment.
Duties & Responsibilities:
- Plan work effectively/work under pressure to balance and prioritise daily tasks
- Provide general office administrative support
- Greet clients, answer incoming calls and emails, managing routine enquiries and transferring callers appropriately
- Managing diaries for Manager and Project Team
- Creating quotations for job requests and work orders
- Typing- including creating documents or using templates
- Data Entry / Invoicing
- Petty cash logs for the office
- Ordering office stationery supplies / materials for jobs when required
- Liaising with clients and subcontractors regarding job bookings
- Maintain an effective filing management system both electronic and paper copy where required
- Provide support for Contract preparation, PO Request Forms
- Build good relationships with all colleagues in the team, including our clients and demonstrate great internal and external customer service at all times
- Prepare and complete audits for accreditations to ensure the quality and safety of our work. These include annual audits for ISO9001, Citation H&S, NIEIC, ECA & Safe Contractor
Skills and competencies:
- Clear knowledge of Microsoft Word, Excel, Outlook and Project
- An excellent telephone manner and ability to liaise effectively with people of all levels to build and maintain customer relationships
- Ability to demonstrate highly effective administration and organisational skills
- Show strong initiative, time effectiveness and capability to complete work on time to a high standard
- Good communication skills and interpersonal skills in order to provide excellent levels of customer service at all times
- Competent typing skills and knowledge of email etiquette including spelling and grammar
- Be adaptable to a changing work environment
Salary:
- £28k negotiable depending on experience
Hours of Work:
- Mon – Fri 8:00am – 4:00pm (1hr lunch) 35hrs per week
- Free Parking, 20 days holiday (28 days holiday including bank holidays)
