The Logistics Administrator will efficiently process and organise all administration and logistics activity from spirits to bottled product. The role covers ERP purchase orders, coordinating transport and logistics for spirit, wood and dry goods, stock movements, and providing information to support HMRC reporting for warehousing sites including duty payments and under bond movements. The position requires flexibility to meet business demands and the ability to work to conflicting deadlines in a fast paced environment.
Primary duties and responsibilities
- Communicate with customers, suppliers, internal and third party warehouses within the UK and internationally regarding shipments of spirit, casks and dry goods.
- Work with a range of hauliers for the movement of spirit, casks and dry goods to specific locations.
- Support item creation, maintenance and adjustments in the ERP system as required.
- Raise and manage transfer orders between warehouses in the ERP system and create pick lists.
- Process removals, receipting and transfers of spirit, casks and dry goods through the ERP system.
- Process removals and receipts of spirit and casks into warehouses through HMRC EMCS.
- Support administration of filling plans including updating the ERP system for wood deliveries, bulk to cask transfers and warehouse allocation for new make spirit at internal and third party warehouses.
- Process sales of bulk spirit to third parties through the ERP system and coordinate uplift logistics.
- Provide relevant information for management of rents, W1 reporting and W5 duty payments.
- Organise and maintain sample libraries across warehouse sites.
- Carry out occasional moving, lifting, bending and carrying of boxes and bottles.
Key skills and knowledge
- Experience of logistics planning.
- Knowledge of spirits, ideally whisky.
- Ability to work under pressure and manage conflicting deadlines.
- Excellent written and verbal communication skills.
- Numerate and literate.
- Strong computer knowledge and experience, including Microsoft Excel.
- Highly organised and structured.
