You will be responsible for providing administrative assistance, managing correspondence, organising documents, and facilitating communication between clients, lawyers, and other stakeholders. This position requires meticulous attention to detail, strong organisational skills, and the ability to thrive in a fast-paced, deadline-driven environment.Responsibilities:
  • Provide administrative support to lawyers and legal staff, including managing calendars, scheduling appointments, and making travel arrangements.
  • Draft, proofread, and edit legal documents, correspondence, and other materials with accuracy and attention to detail.
  • Maintain electronic and physical filing systems, ensuring that documents are organised, easily accessible, and up-to-date.
  • Handle incoming calls, emails, and inquiries from clients, colleagues, and external parties, demonstrating professionalism and discretion.
  • Coordinate meetings, conference calls, and video conferences, including arranging meeting rooms, preparing agendas, and distributing materials.
  • Assist with billing and invoicing processes, tracking billable hours, preparing expense reports, and managing client accounts.
  • Conduct legal research using online databases and resources, compiling relevant information and preparing summaries for review by attorneys.
  • Collaborate with other support staff members to ensure efficient workflow and timely completion of tasks.
  • Uphold confidentiality and privacy standards in handling sensitive information and client matters.
  • Perform general office duties, such as photocopying, scanning, filing, and maintaining office supplies.
Attributes:
  • Proven experience as a legal secretary or administrative assistant in a law firm or similar professional setting.
  • Excellent typing skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong written and verbal communication skills, with the ability to interact professionally with clients and colleagues.
  • Exceptional organisational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
  • Familiarity with legal terminology, procedures, and documentation preferred.
  • Ability to work independently with minimal supervision, while also collaborating effectively as part of a team.
  • Discretion and integrity in handling confidential information and client matters.
  • Adaptability and flexibility to thrive in a fast-paced, deadline-driven environment.
