Calling all Commercial Property Legal Secretaries! 

A well-established, business-minded, law firm are seeking a highly experienced Legal Secretary to support its Commercial Property team. The firm also specialises in business law and private client services, with offices in central London and Harrow. Services offered include commercial property, banking and finance, property development, property litigation, landlord and tenant matters, and insolvency and restructuring.

The successful candidate will join a reputable team known for delivering expert legal services and tailored solutions to a diverse client base, including individuals and corporate entities.

Qualifications and Experience:

  • Minimum of 10 years’ relevant experience.
  • Ideally has a background in commercial real estate, asset management, and landlord and tenant matters (though not essential).

Hours: Full-time (hybrid working available after initial training period)

Role Overview:This is an excellent opportunity to contribute to high-value commercial real estate transactions within a dynamic legal environment. The Legal Secretary will support fee earners in all aspects of real estate work, including drafting and reviewing documentation, conducting title checks, and assisting with due diligence.

The ideal candidate will have a solid understanding of commercial property practice and demonstrate the ability to work proactively and independently. The team comprises five commercial property solicitors and one other legal secretary. Strong time management and workload prioritisation skills are essential.

Fee earners primarily communicate via self-generated email, and the firm uses an external provider for document production and file management support.

Essential Skills and Experience:

  • Proficient in Office 365, Excel, and InfoTrack.
  • Strong written and verbal communication skills.
  • Professional and confident telephone manner.
  • Excellent organisational and administrative abilities.
  • Problem-solving mindset with proactive solution implementation.
  • Strong prioritisation and time-management skills.
  • Team-oriented approach.

Desirable Experience:

  • Familiarity with P4W Case Management System and/or NetDocs (or similar).
  • Experience submitting applications via the Land Registry portal.
  • Skilled in preparing and submitting SDLT forms to HMRC.
  • Confident navigating the Companies House website.
  • Competent in using DocuSign or similar e-signature platforms.
  • Experience preparing bills and understanding solicitors’ office and client accounts.

Key Responsibilities:

  • File management (opening, filing, archiving) using P4W/NetDocs or similar systems.
  • Initiating AML searches in collaboration with the onboarding team.
  • Scanning, photocopying, and coordinating document production.
  • Compiling, binding, indexing, and scheduling deeds and legal documents.
  • Managing correspondence and documentation from outsourced providers.
  • Handling solicitor and third-party emails.
  • Making and receiving calls to/from clients and third parties.
  • Coordinating diaries and meetings.
  • Performing other administrative duties as required.

Support may be required across departments or to cover for absent colleagues. The role reports to the Head of Department unless otherwise directed. 

Flexibility, collaboration, and a constructive approach to working with technology are essential.
