Job DescriptionWe are recruiting for a proactive and detail-oriented HR Assistant to join our HR team. The successful candidate will play a key role in supporting HR processes and initiatives, ensuring that work is processed accurately, efficiently, and within agreed timescales. Responsibilities include: Pay and Benefits
- Acting as the escalation point to the HR Administrator and other HR Assistant with any complex monthly payroll queries.
- Supporting the HR Assistant with the monthly payroll second checks ensuring that all contractual changes, benefits, ad hoc payments/deductions, starters and leavers are processed correctly.
- Supporting the HR Manager in reviewing our benefits package (including PMI, Life Assurance and EAP) and sourcing staff discounts/corporate partnerships where appropriate.
- Acting as an escalation point to the HR Administrator and HR Assistant for the administration of all employee benefits (pension, childcare vouchers, eye-care, PMI, staff discount).
New Starters, Internal Movers, and Leavers - Working together with the other HR Assistant to deliver the HR induction for all new starters as part of the Welcome Workshop.
- Ensuring that the HR induction is regularly reviewed and updated to reflect any changes to our people policies and practices.
- Ensuring that all new starters, internal movers and leavers receive the relevant feedback questionnaire via email or workflow notification, reviewing the responses, escalating any points of concern to the appropriate HR practitioner and carrying out face to face meetings where necessary.
- Supporting the HR team by analysing new starter/leaver feedback appropriately and identifying common themes or trends.
- Supporting the HR team by producing relevant MI to support the trends identified in new starter / leaver feedback.
Family Friendly - Working with the HR Assistant to ensure that all family friendly leave cases are managed accurately, efficiently and in accordance with the relevant policy and procedure.
- Supporting all employees going on maternity leave cases in accordance with policy and procedure and undertaking the required employee meetings.
- Supporting employees going on shared parental or adoption leave in accordance with policy and procedure whilst reviewing what is appropriate on a case by case basis dependent on duration of leave.
- Supporting employees going on paternity leave by ensuring they are aware of the leave available to them and recording this as appropriate.
- Providing accurate and timely advice to managers regarding family friendly leave cases, ensuring they are fully briefed on the employees' leave dates, pay and how to support staff prior and post leave.
- Supporting managers with flexible working requests that are submitted following family friendly leave, ensuring they are managed in line with policy and in accordance with relevant and current employment law.
HR Social - Maintaining the 'key dates' calendar containing all important dates that should be recognised and celebrated across the business i.e. Mental Health Awareness Week, Black History Month, International Women's Day, Pride etc.
- Working with the other HR Assistant in the organisation of the Summer and Christmas parties, liaising with the Marketing team where necessary.
- Promoting all social activities, awareness events and the team social budget throughout the year through various resources, liaising with the Marketing team where necessary.
Person SpecificationThe ideal candidate will be Level 3 CIPD qualified and will have at least 2 years of HR administration experience, including managing family-friendly cases. Strong written and verbal communication skills are essential, as well as the ability to analyse data and generate MI using Excel. You will be confident managing multiple tasks and prioritising effectively, while maintaining a high level of confidentiality.
