This is a temporary role to help cover holiday and sickness for CIRCA 3 months
Working for a lovely charity based in the city centre - 35 hours per week, 2 days in the office, 3 days working from home.
Support the administration of all HR activity within the employment lifecycle, ensuring work is completed accurately, efficiently, and in a compliant manner.
Support recruitment and selection activity, employee lifecycle including (but not limited to) the new starter onboarding process, leaver processes, and HR project work contribution.
Ensure adherence to relevant employment, statutory and data protection legislation
HR Administration
- Administer referencing requests, DBS checks, production of offer letters, contracts of employment and induction materials (individual and group wide activities).
- Schedule and arrange HR & Group inductions, with a view to delivering HR Induction sessions to new starters.
- Support the management of the People team and Recruitment Inboxes, ensuring all emails are assigned to the appropriate team member.
- Prioritise and complete own tasks as required.
- Responsible for maintenance of electronic employee records and filing of documents, ensuring all records are kept current and managed in accordance with GDPR and Data Protection Policies.
- Accurately maintain the HR management system (PeopleHR) and be the go-to person for general queries.
- Calculate employee holiday and sick pay entitlements and ensure records are maintained on our HR system.
- Ensure all payroll linked changes to employee contracts or working arrangements are accurately logged in accordance with payroll processing deadlines.
- Track and monitor employees during their probationary period and support line mangers in the completion of administrative tasks during this process.
- Support administration tasks associated with employee contractual changes or where policies need to be followed (e.g., maternity leave and fixed term contracts)
- Track and monitor the completion and return of annual PDR reviews.
- Support the employee leaver process including paperwork, payroll and exit interview processes.
- Complete any reasonable task requested by the Group Head of People, or the Group Resources Director.
Recruitment and selection
- Oversee the Applicant Tracking System and be the first point of call for system queries
- Ensure the recruitment process is appropriately followed including authorisations, and any necessary processes before job advertisements are placed.
- Act as the HR lead in the creation and closure of recruitment campaigns. Post vacancies, assisting managers and candidates during the process, ensuring all stages are completed by the appropriate manager.
- Monitor application and equal opportunities data and create organisational reports.
- Monitor the storage, sharing and destruction of candidate data in accordance with the GDPR and Data Protection Policies.
