We’re seeking a highly organised and proactive professional to support a newly appointed Head of Department in a dynamic, fast-paced academic and research environment. This role is pivotal in ensuring the smooth coordination of the Head's day-to-day commitments, spanning strategic leadership, research, teaching, and external engagement.
The successful candidate will be a natural problem-solver, calm under pressure, and confident liaising with senior stakeholders. This is a fantastic opportunity to work at the heart of a large, high-performing academic team.
Key Responsibilities
- Provide high-level diary and inbox management, ensuring effective time prioritisation and preparation.
- Coordinate complex meeting logistics, including agendas, minutes, and follow-up actions.
- Act as first point of contact for all enquiries relating to the Head of Department.
- Prepare briefing materials, reports, presentations, and correspondence.
- Manage travel arrangements, visa requirements, and itineraries.
- Maintain effective communication between the Head and internal/external stakeholders.
- Support the Head’s research group (including PhD students and research staff).
- Assist in planning and tracking strategic projects and departmental priorities.
- Proactively identify and implement improvements to administrative processes.

You will have:
- Proven experience providing executive or senior-level support in a complex organisation.
- Outstanding organisational and time-management skills.
- Excellent written and verbal communication abilities.
- High level of discretion, professionalism, and interpersonal skill.
- Comfort with digital tools (e.g., Microsoft 365, SharePoint, Zoom/Teams).
- A flexible, can-do attitude and ability to work independently.
- Experience in academia, start-ups, or a tech-focused environment is desirable but not essential.
