Role Overview:
This dynamic role is split between two key areas of responsibility: Reception/Administrative Support and HR Assistance. The successful candidate will play a crucial role in maintaining office operations and supporting our HR team.
Reception/Administrative Support (1/3 of time allocation):Responsibilities:
- Presential Reception Desk:
- Greet visitors and ensure a positive experience.
- Assist clients with coffee, Wi-Fi access, and other amenities.
- Office Supplies Management:
- Handle office supply orders, including weekly stationary top-ups.
- Monitor supply levels in kitchens and photocopiers.
- Event Logistics:
- Collaborate with the Event Assistant to organize monthly events.
- Assist with event setup and coordination.
2. HR Tasks (2/3 of time allocation):Training:
- Training will begin from day one, with the goal of transitioning to 100% HR tasks by mid-September.
Responsibilities:
- Existing Staff Monitoring:
- Use HR software to track staff details and updates.
- Maintain individual staff HR files.
- Recruitment and New Staff Monitoring:
- Assist the HRBP with recruitment processes, including interview scheduling and document preparation.
- Create and organize HR files for new hires.
- Prepare staff bios prior to their arrival.
- Leavers’ Monitoring:
- Manage leavers’ documentation, including exit checklists and holiday balances.
- Coordinate exit day logistics.
- Digitally archive leavers’ HR files.
- HR Procedures:
- Help prepare and proofread new HR procedures.
- Holiday & Sickness Tracking:
- Monitor staff leave and sickness absences in real time.
Additional Requirements:
- Fluency in both French and English (due to a balanced mix of clients).
- Strong common sense and a proactive attitude.
- Excellent time management skills.
- Proficiency in PowerPoint, Word, Excel, and Teams.
