The Role & Responsibilities of the Finance Assistant
Sales Ledger
- Recording and reconciling sales transactions
- Issuing invoices and credit notes
- Posting and allocating customer receipts
- Maintaining and updating customer accounts and details
- Managing a sales ledger portfolio of £2m+ using invoice discounting
- Preparing sales reports - including forecasting and future billing
- Uploading invoice schedules and credits to the invoice discounting facility
- Liaising with customers and internal teams to resolve queries and ensure accurate billing
- Assisting auditors by providing relevant sales ledger documentation
Credit Control
- Monitoring overdue accounts and chasing outstanding debt
- Communicating with customers by phone and email regarding payments
- Producing aged debt reports and debtor analysis
- Escalating payment issues as necessary
- Reconciling customer accounts and resolving discrepancies
- Providing regular updates to the finance team
Bank Reconciliations
- Reconciling credit card and bank statements
- Monitoring and processing monthly credit card data
- Preparing card usage reports and analysing spend
Purchase Ledger Support
- Assisting with inputting supplier invoices
- Helping reconcile supplier accounts and supporting the wider AP function as needed
Requirements of the Finance Assistant
- AAT Level 3 minimum but qualified by experience will be considered
- Previous experience in a busy finance office, particularly in sales ledger and credit control
- Working knowledge of Sage Line 50 and Microsoft Excel
- Excellent written and verbal communication skills
- Strong organisational skills and attention to detail
- Ability to manage workload and meet deadlines
