Job DescriptionWho we're looking forWe are looking for an Executive Secretary to our Client Group division supporting senior leaders within the Marketing and Communications function. This is a 12 month FTC opportunity. About SchrodersWe're a global investment manager.   • Provide seamless and proactive diary management for the Global Head of Client Group Management and 3 other Marketing Executive Committee members, juggling complex schedules across time zones and prioritising high-impact business, client, and personal commitments.
  • Organise and coordinate internal and external meetings, virtual and in-person, including communication, invitations, travel, room bookings, catering, audio-visual requirements, and all supporting logistics.
  • Manage travel within Schroders' travel policy, preparing detailed itineraries, arranging meetings, visas, and ensuring efficiency and cost-effectiveness.
  • Process expense claims and manage invoice payments ensuring compliance with policy and timely validation.
  • Serve as a point of contact for all workplace matters, working with Facilities, IT, and guest services to keep the office functional and professional for the Distribution function.
  • Foster best practice and partnership by working closely with other Executive Secretaries providing coverage during annual leave or busy periods, keeping Global organisational charts up to date and organising the start to end processes for new starters and leavers.
  • Organise and coordinate events and team meetings - onsite and offsite, sourcing venues or booking rooms internally as well as lunch, dinner and/or team building activities.
  • Support projects as required.
The knowledge, experience and qualifications you need
  • Experience supporting multiple senior stakeholders within a large organisation, and with exposure to international diary and travel management.
  • Demonstrable experience supporting and organising high-level internal and external meetings.
  • Familiarity with invoices and expense processes, and general finance administration.
  • Proficient with MS Office suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Outstanding attention to detail and the ability to use initiative.
  • Professional communication skills; ability to interact with credibility at all levels, internally and externally.
  • Resilient, adaptable, and able to work calmly and efficiently under pressure in a rapidly changing global environment.
  • High levels of integrity, confidentiality, and trustworthiness
