Executive Personal Assistant
  • Annual Salary: £35-40k per annum
  • Location: Crawley, UK
  • Job Type: Full-time, office-based with flexibility around working hours and a hybrid working model of 3 days in the office. Occasional travel required

An exciting opportunity has arisen for an experienced Executive Personal Assistant to support a member of the senior leadership team for a well established business in Crawley. This role involves providing administrative and organisational support to the UK Leadership team as well as involvement in other business initiatives. 

Day-to-day duties of the role:
  • Communication & Information Management (15%)

    • Serve as a trusted communication partner, ensuring internal and external messaging is aligned, timely, and impactful.
    • Manage multiple communication channels, prepare and distribute communications such as internal updates and executive summaries.
    • Maintain structure and consistency across shared documents and leadership materials.
  • Diary & Meeting Management (30%)

    • Manage complex, multi-timezone diaries for senior leaders.
    • Coordinate and prepare for various meetings including UK Leadership Team and Northern European Hub meetings.
    • Organise team check-ins and manage scheduling for performance reviews and business cycles.
  • Travel & Logistics (30%)

    • Handle detailed travel itineraries for the leadership team.
    • Coordinate logistics for off-site leadership meetings and events.
    • Manage travel-related arrangements and track expenses efficiently.
  • Expenses & Financial Administration (10%)

    • Manage expense claims and monitor financial transactions such as purchase requisitions and orders.
    • Ensure responsible and efficient spend management.
  • HR & Project/Initiative Support (15%)

    • Assist with HR processes including interview scheduling and onboarding.
    • Support strategic projects and leadership initiatives.
    • Coordinate employee recognition programmes and award nominations.
Required Skills & Qualifications:
  • Proven experience supporting senior executives in a multinational environment.
  • Exceptional organisational and time-management skills, capable of managing multiple priorities.
  • High level of discretion, integrity, and professionalism with access to sensitive information.
  • Excellent communication skills, both written and verbal, with strong attention to detail.
  • Proficiency in Microsoft Office Suite and collaboration tools
