REED Business Support in Bath is working in conjunction with a client with stunning offices on the outskirts of Bath in the quest to find a Temporary PA/Executive Assistant.
This is a senior level role supporting a Director with daily PA duties. This Director is extremely busy so managing diaries and travel arrangements are key.
Temporary: 1 month rolling contract
Start: ASAP
Hourly pay: £18.92
Hours: 35 hours per week (Monday to Friday)
Location: outskirts of Bath
Office based
Day-to-day of the role:
- Manage day-to-day administration, monitor email traffic, and maintain close liaison with team members, tenants and external agencies.
- Handle complex diary management for the Director, co-ordinating with other team administrators and external parties as necessary.
- Arrange travel and accommodation for the Director and track and prepare expense reports.
- Take minutes, type, and file documents as required on a daily basis.
- Manage correspondence and communications on behalf of the Director.
- Liaise with Local Authorities, External Agencies and the Media team as needed.
- Organize external events including hospitality and support during visits.
- Resolve inquiries and issues promptly and professionally.
- Ensure all office administration aspects are covered, including domestic arrangements and health and safety protocols.
- Liaise with Building Surveyors regarding building maintenance issues.
- Manage the office budget, including monthly reconciliations, end-of-year budgets, and annual budget forecasts in collaboration with the Land Steward and Management Accountant.
- Order office supplies, including stationery, kitchen supplies and office furniture.
- Chair monthly Heads of Department meetings and quarterly full office meetings, creating agendas and taking minutes.
- Facilitate intra-office communication and ensure a warm welcome for office visitors, projecting a positive image of the business.
Required Skills & Qualifications:
- Proven experience as an Executive Assistant.
- Exceptional attention to detail and discretion.
- Strong diary and time management skills, with the ability to prioritise effectively.
- Proficient in Microsoft Office applications.
- Excellent organisational skills and a systematic approach to problem-solving.
- Ability to work under pressure and manage a busy workload efficiently.
- Experience handling confidential matters with tact and discretion.
- Strong interpersonal skills, capable of building positive relationships across a diverse organisation.
