Role: Executive Assistant 

Reporting To: Chief Operating Officer for Global Markets

We are currently seeking an experienced Executive Assistant to join our dynamic team on a 12-month contract basis. 

Role Overview: As an Executive Assistant, you will play a pivotal role in ensuring smooth operations within our trade floor. You will provide comprehensive administrative support to two Managing Directors, facilitating their day-to-day activities and enabling them to focus on strategic decision-making. 

Key Responsibilities: 

  • Calendar Management: Efficiently manage the Managing Directors' calendars, scheduling meetings, conferences, and travel arrangements. 

  • Communication: Act as a liaison between the Managing Directors and internal/external stakeholders, ensuring effective communication. 

  • Document Preparation: Prepare and edit documents, presentations, and reports with precision and confidentiality. 

  • Travel Coordination: Arrange travel itineraries, accommodation, and logistics for business trips. 

  • Expense Management: Utilise concur to handle expense reports, reimbursements, and financial documentation.  

  • Event Coordination: Assist in organizing internal and external events, conferences, and seminars. 

  • Ad Hoc Tasks: Support the Managing Directors with any additional tasks as required. 

Qualifications and Experience: 

  • Proven Experience: Prior experience as an Executive Assistant, preferably within a trade floor environment or comparable. 

  • Strong Communication: Excellent verbal and written communication skills. 

  • Organisational Skills: Ability to manage multiple priorities and deadlines. 

  • Discretion and Confidentiality: Handle sensitive information with utmost discretion. 

  • Tech-Savvy: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
