Our client is a leading London university with a strong reputation for academic excellence and student experience. They are looking to appoint an organised and enthusiastic Events Coordinator to play a key role in delivering a varied programme of events that support the university’s teaching, research, alumni, and public engagement activities.
About the Role
The Events Coordinator will be responsible for planning, coordinating, and delivering high-quality events across the university. These may include academic conferences, graduation ceremonies, public lectures, student engagement activities, and networking opportunities for staff, students, and alumni.
Key Responsibilities
- Support the planning and delivery of university events from inception to completion.
- Coordinate logistics such as venue booking, catering, AV requirements, guest lists, and invitations.
- Liaise with internal stakeholders (academic departments, student services, communications teams) and external suppliers.
- Ensure events are delivered within agreed timelines and budgets.
- Provide on-the-day support, including guest registration, troubleshooting, and overseeing event staff/volunteers.
- Monitor and evaluate events, producing reports and feedback to inform future planning.
- Maintain accurate records and contribute to event promotion through digital and print channels.
Person Specification
Essential
- Experience of organising and delivering events in a professional setting.
- Strong organisational and project management skills, with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills, confident in liaising with a wide range of stakeholders.
- Proficient in using MS Office and comfortable with event management or CRM systems.
- Ability to remain calm under pressure and solve problems quickly.
- Willingness to work occasional evenings or weekends to support events.
Desirable
- Experience working in a higher education or public sector environment.
- Knowledge of health and safety, risk assessment, and safeguarding procedures in relation to events.
- Understanding of digital and hybrid event platforms.
