Job Location : Guildford, UK
We're looking for an enthusiastic and proactive Event Coordinator to support our Head of Events and wider team in delivering top-tier events and experiential experiences. From planning and prepping to de-rig and post-event analysis, the Event Coordinator will be involved in every stage of the process, helping to ensure smooth operations and memorable moments.
This is a hands-on role for someone who’s as comfortable sourcing swag as they are in client meetings and coordinating logistics on-site.
What You'll Be Doing:
Behind the Scenes
Taking meeting minutes and sharing updates
Researching venues, suppliers and contractors
Managing the purchasing inbox and office supplies
Supporting the EA to the CEO and CCO with ad-hoc admin tasks
Prepping for the Big Day
Contributing to event planning and strategy
Attending site visits and client meetings
Tracking budgets, invoices, and ordering online supplies
Assisting with costume sourcing, laundry and packing
Sourcing swag, suppliers, performers and venues
Updating essential event documents
On-Site at Events
Supporting the events team during setup and breakdown
Supervising external suppliers and acts
Supporting the Head of Events with live tasks
After the Applause
Assisting in post-event debriefs and feedback
Coordinating returns and hired item checks
Ensuring all event props are unpacked and stored properly
