This international law firm has a history going back to the 1930s. It is now a leading and award-winning firm with a client base encompassing some of the best names in retail, banking, real estate, sports, and utilities.

The firm is based in the city, ideally placed for commuters. They offer a generous benefits package that includes a flexible element with an option of choice.

They are now looking to hire a E Billing Coordinator on a permanent basis. To ensure prompt and accurate processing of the firms eBilling invoices. Assist in the continued push to automate eBilling processes and mitigate eBilling rejections. Research and resolve complex eBilling issues with billing attorneys in the firm, escalate rejections to billing department, collaborate with cross functional teams to research and resolve AR-related issues.

Responsibilities

  • Prepare files for submission to clients via eBiling Hub and various systems relating to eBill invoices.
  • Troubleshoot and resolve advanced errors with eBilling submission.
  • Assist with eBilling for some of the firm's more complex clients.
  • Review final invoices for accuracy and data integrity, ensuring invoices are in compliance with client's billing guidelines.
  • Ensure that invoices have proper approvals consistent with the firm's policies and procedures.
  • Monitor invoice validations, approvals, reductions, and rejections on a daily basis to ensure corrective actions is in place for future submissions.
  • Provide technical support, customer service to billing attorneys and staff members regarding eBilling implementation processes, submissions, and compliance with client's billing guidelines.
  • Work with clients and third-party vendors to implement new and existing clients for e-billing.
  • Assist with timekeeper profiles, vendor forms, and manage third party systems.
  • Work with billing department to support eBilling systems by adding/removing user accounts, resetting passwords, entering budgets, status reports, timekeeper rates, accruals on matter profiles in various eBilling platforms.
  • Monitor daily control of the eBilling mailbox and associated queries within the firm.
  • Can trouble shoot technical, logistical issues with LEDES submissions, extended field mappings and contact eBilling Hub customer support for guidance to avoid manual submissions when necessary.
  • Participate in training sessions and webinars to stay abreast of the demands for eBilling clients.
  • Work with Accounts Receivable/Credit Control teams on answering questions regarding eBill approval status in various platforms.
  • Responsible for reviewing and updating data across multiple systems as necessary.
  • Participate in monthly eBilling meetings by presenting and discussing relevant topics.

Candidate Profile

  • Bachelor’s or Associate degree in Accounting, Finance or related experience
  • In depth knowledge of eBillingHub, key eBilling vendor systems and related systems and Finance software.
  • Strong working knowledge of 1998B, 1998BI and XML 2.0 LEDES file is preferred/required.
  • Two or more years of experience with eBillingHub, Legal Tracker, Tymetrix 360, DataCert, Counsellink, Collaborati and OnitBilling Point.
  • Prior experience of multi-currency, multi-location billing and related tax regulations is essential - preferably with experience of Paperless Proforma and Elite Enterprise and/or 3E is strongly desired.
  • Have a desire and willingness to learn new systems and adapt to change.
  • Prior experience of working in a large international professional service firm, preferably with legal, is required.
  • Confidence in building relationships and initiating communication with team members based in different offices/locations is essential.
