Job Description :

We are seeking a Conveyancing Legal Secretary to provide essential support to our Commercial and Residential Conveyancing team. This role involves assisting with the administration of property transactions, from initial instruction through to completion and post-completion. The successful candidate will be highly organised, possess excellent communication skills, and have a keen attention to detail.

Day-to-day of the role:
  • The role will involve a variety of administrative and legal support tasks, including but not limited to:

  • Opening new client files and conducting Anti-Money Laundering (AML) and ID checks using Thirdfort.
  • Drafting and preparing a range of legal documents, such as:
    • Company board minutes and written resolutions
    • Mortgage deeds, contracts, and transfer deeds
    • Rent authority letters, leases, rent deposit deeds, lease extension deeds
    • Licences and deeds of variation
  • Handling general administrative tasks including photocopying, printing, scanning, and arranging couriers.
  • Managing file closures in accordance with firm procedures.
  • Answering internal and external telephone queries from clients and agents, ensuring timely and appropriate responses or message forwarding.
  • Monitoring and responding to incoming post and emails as appropriate.
  • Addressing routine queries and supporting general office administration.
  • Assisting with billing processes, including preparing bills and liaising with fee earners and the accounts department.
  • Preparing completion statements and managing financial transactions such as requesting cheques, arranging bank transfers, and processing incoming funds.
  • Completing and submitting SDLT forms.
  • Registering charges at Companies House via WebFiling.
  • Preparing and submitting AP1 applications through the Land Registry online portal.
  • Using conveyancing panel portals such as LMS and Lender Exchange.
  • Ensuring applications are submitted within OS1 priority periods and responding to requisitions before cancellation deadlines.
  • Providing occasional reception cover as required.
