Conference and Review Support Officer

Oldham Council is seeking a Conference and Review Support Officer to provide essential coordination and support for Child Protection Conferences and Children Looked After Reviews. This role requires a professional who can handle emotionally charged meetings, ensuring high-quality customer service and meticulous minute-taking. The position is office-based for meetings, with the flexibility to work from home when not attending meetings.
Day-to-day of the role:
- Organise and prepare for Child Protection Case Conferences and Children Looked After Reviews, including setting dates, locations, and receiving attendees.
- Ensure timely distribution and collation of key documents from professionals and families.
- Produce accurate and professional minutes during conferences and reviews, which may be reviewed by courts and other external bodies.
- Analyse and validate service-specific information, requesting additional details or clarification and chasing progress on outstanding issues as required.
- Manage highly confidential and sensitive information on internal case management systems securely.
- Update and retrieve information from various systems and spreadsheets, manipulate data, and create non-standard reports.
- Assist with the development and maintenance of new office and information systems, including compliance checks.
- Investigate anomalies or discrepancies and propose appropriate actions.
- Provide excellent customer care and maintain anti-discriminatory practices.
- Respond to complex queries with a developed knowledge of the service area.
- Formulate routine responses and acknowledgements to correspondence and take initiative on behalf of the service when appropriate.
- Investigate complaints in line with corporate procedures and escalate where necessary.
- Work flexibly and efficiently to manage competing priorities and adhere to strict deadlines.
Required Skills & Qualifications:
- Proven experience in minute-taking is essential.
- Strong organizational and administrative skills, particularly in a technical or specialist administrative capacity.
- Excellent communication skills, capable of handling sensitive situations with professionalism.
- Proficiency in using computer packages and systems for data entry, retrieval, and report generation.
- Ability to handle confidential and sensitive information with discretion.
- Experience in customer service and handling complex queries.
- Ability to work flexibly and adapt to changing priorities and deadlines.
