My client is an award-winning aggregate of private property companies based in Surrey. The Group has established itself as a leading multi- disciplinary Developer and Propco covering London, the South East and South West.  A tenacious and confident Portfolio Manager is sought to oversee the management of a portfolio of circa 750 commercial and residential assets with a value of over £100m - The commercial portfolio is managed in-house though the Property Management team under the guidance of the Portfolio Manager. The residential portfolio is managed via external agents with a requirement for the Portfolio Manager to manage the agents’ relationships, sign off maintenance and trouble shooting from the Landlords perspective. This role reports into the Managing Director, with 4 additional team members involved in the management of the portfolio.  The split of residential and commercial is c. 50/50 with the commercial element incorporating retail, parades of shops, office blocks and light industrial.  Core areas with properties are Surrey, Hampshire, Berkshire and London.  Duties Include:  Ensure optimum portfolio performance - to limit voids, reduce arrears and make cost effective maintenance and compliance decisions.  
  • Active maintenance management, analysing costs, scope, requirements and liability. o Oversee maintenance process to ensure purchase orders raised, authorised and tracked. (1 team member commercial, 1 team member residential)
  •   Monthly and quarterly accounts reporting on expenditure and rental income to FC and MD 
  • Full understanding of portfolio arrears, voids, vacants, lettings and fees.  
  • Lead arrears strategy to recover monies via 1 team member commercial, 1 team member residential.  
  • Ensure H&S, fire risk, EPC compliance across portfolio and track changes of legislation (1 team member commercial, 1 team member residential)  
Manage and lead Commercial Lettings via Agents and internally.  
  • Lead commercial lease events and liaise with 3rd party surveyors and agents.
  • Complete lease renewals and rent reviews directly with Tenants.  
  • Liaise with 3rd party solicitors to expedite new leases or renewals.  
  Set commercial service charge budgets across estates with Commercial accounts and oversee execution.    Manage Residential agents to ensure low vacants, renewals and rent reviews.  
  • Oversee complex maintenance projects with 1 team member residential.  
Oversee internally managed London residential Portfolio maintenance decisions and costs    Bring new properties to market, working with development team and 3rd party agents.  Ensure effective data capture and teamwork.  
  • Management System (Qube) updated with lease details by team  
  • Work with Commercial Accounts to ensure correct invoicing details.  
  • Monitor and manage portfolio utilities, rates and council tax with other team members.
 Lead insurance claims across the portfolio and work with Financial Controller on insurance renewal and recharging/collection.  You will be required to attend monthly commercial agent meetings on the South Coast.To be considered for this position it would be beneficial to have the following skills and attributes:  
  • Minimum 5 years Property Management experience
  • A good understanding of Commercial and Residential Leases and ASTs
  • Ability to multitask and prioritise
  • Excellent communication and interpersonal skills with an ability to lead
  • Strong IT skills
  • Experience using MRI Qube (desirable)
  • RICS qualified (desirable)
  • Driver & own car
