Our client is seeking an Administrative Support Specialist to provide essential support to our Private Client Financial Planners and Directors.
This role is crucial for preparing review packs and ensuring the smooth operation of the department. The ideal candidate will be a proactive team player who is keen on developing new skills and supporting team members.
Managing the volume and prioritisation of work effectively.
Day-to-day of the role:
- Maintain and update client records accurately, ensuring all related correspondence is uploaded and indexed appropriately.
- Save and name documents correctly, maintaining a concise audit trail for all client work.
- Support, train, and develop new team members, ensuring efficiency and effectiveness in their roles.
- Liaise with third parties to obtain information and answer queries, ensuring efficient client service.
- Keep Financial Planners and clients informed about progress and escalate any concerns or complaints to the manager.
- Adopt new technology and suggest improvements to existing processes.
- Prioritise tasks effectively, including handling emails, post, reviews, and phone calls.
- Update personal talent development records and recording the impact of any training.
- Cover reception duties as needed, including during breaks, holidays, or sick leaves.
Pre-Financial Planner Meeting Responsibilities:
- Circulate monthly updates on reviews due and overdue.
- Prepare Financial Planner packs as per the schedule, ensuring accuracy and completeness.
- Generate and update the Advice Flow to track activities.
- Identify and include any specific requirements as per the outlook task.
Required Skills & Qualifications:
- Proven administrative or secretarial experience.
- Familiarity with Becketts’ systems and processes.
- Excellent attention to detail and accuracy.
- Strong organisational and time management skills.
- Proficient in computer and data management.
- Ability to work effectively in a team and build relationships.
- Strong communication skills, both written and verbal.
- Ability to adhere to rules and procedures.
Desirable Qualifications:
- GCSE/A Level in Maths and English.
