Job Description :

My client is a truly global law firm that operates in 55 countries, employing nearly 5000 staff. Business Services employs 400 staff in London across Facilities, Human Resources, IT, Knowledge, Learning, Business Development and Finance.

They are now looking to recruit a Client Finance Operations Analyst on a permanent basis.

Responsibilities

  • To raise advanced invoices and liaise with E-Billing to ensure they are uploaded appropriately
  • To monitor and collate MVE submissions managed either manually or through the client portal.
  • To attend weekly client core team meetings ensuring all required data and analysis is produced and provided in time for the meetings.
  • Day to day management of the client query inbox ensuring queries are responded to in a timely manner and that where necessary queries are escalated to the CFM, Senior Service Delivery Manager, or CRPs as appropriate.
  • To ensure WIP values are collected from member firms and follow up if not received.
  • To undertake regular WIP reviews, and producing exception reports and relevant information to the CFM as required.
  • To provide ad hoc financial analysis and insights and prompting the CFM if there are any issues or trends.
  • To ensure external disbursements are monitored, received/tracked and paid on a timely basis.
  • To update WIP reports, MVE report and other data sets in to the portal or database and ensuring relevant information is downloaded where necessary, and maintained.
  • To update progress against MVEs and budget categories.
  • To process quarterly bills and liaise with relevant operations team members for support in the preparation of the quarterly bills.
  • To provide the CFM with variance analysis on MVEs and budgets and subsequently monitor our internal spend against the clients data.
  • To assist with drafting communications to the clients partners regarding discounting, hold back, and payments as required.
  • To facilitate the payment of invoices and the distribution of monies to CMS partners in all member firms.
  • To liaise with the Service Delivery team to track secondments and report to the CFM / key stakeholders on a regular basis regarding surplus or deficit.
  • Review monthly reconciliations of outstanding invoices from CMS member firms, resolve any issues .
  • To monitor cash flows and ensure received payments are dealt with, and stakeholders advised.
  • To produce relevant data for assisting the CFM with regular budget holder meetings, quarterly holdbacks, quarterly billing, annual retainer negotiations and general queries.
  • To work with the CFM and other core team members in the continuous development and improvement of processes and systems.
  • To be the main point of contact and support for the client portal providing guidance and training to users, and being a first point of contact for technical issues, and ensuring that technical issues are escalated when necessary and resolved.
  • To ensure, and regularly review, that matters are open correctly, with the correct information and in the right way.

About You

  • Previous experience working in a law firm as a Revenue Controller (c.2-3 years)
  • Experience in the production of client and partner reporting
  • A high standard of computer literacy (knowledge of 3E systems would be advantageous)
  • Dealing with various AP related queries and arranging for payment of third party invoices
  • Billing experience
