Hours: Monday to Friday 8.30am to 5.30pm (40hrs)

Salary - Competitive DOE

Purpose of the Branch Administrator

As a Branch Administrator, you will play a pivotal role in the smooth functioning of our branch operations, with a particular focus on providing administrative support for large tender accounts. You will also be instrumental in ensuring compliance of candidates with the stringent requirements of these accounts, while also managing various administrative tasks and supporting consultants throughout the recruitment process.

Key Accountabilities for the role of Branch Administrator

  • Be the initial point of contact, welcoming visitors, and handling phone inquiries courteously.
  • Manage Candidate and Client contact details in the CRM Database.
  • Keep job listings updated and accurate across various online and offline platforms.
  • Securely upload Client and Candidate documents into the CRM database as per data control guidelines.
  • Ensure all required documents are matched and filed with the relevant candidate records.
  • Guide candidate inquiries to the appropriate person and provide application updates.
  • Format candidate CVs and create profiles for client presentations.
  • Assist with general office administration tasks when needed.
  • Coordinate client and candidate placement administration, including accounts.
  • Contribute to weekly job lists creation and participate in internal team meetings.
  • Manage multiple online calendars and schedule appointments accordingly.
  • For temporary positions: Guide new temporary workers through compliance information and ensure accurate completion of documentation.
  • For temporary positions: Complete payroll details for new starters and securely pass them to the payroll department.

Person Specification for the role of Branch Administrator

  • Minimum of GCSEs (or equivalent) including English and Maths.
  • Previous experience in an administrative role, ideally within the recruitment sector or other sales-based, fast-paced environment.
  • Excellent verbal and written communication skills in English.
  • Ability to communicate professionally and effectively with candidates, clients, and colleagues.
  • Strong organisational abilities, capable of managing multiple tasks concurrently.
  • Attention to detail in maintaining accurate records and documents in compliance with UK regulations.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with database management systems.
  • A friendly and approachable manner for greeting visitors and handling telephone enquiries.
  • Dedication to providing exceptional customer service to candidates and clients throughout the recruitment process.
  • Ability to adapt to changing priorities and work effectively in a fast-paced environment.
  • Willingness to support various tasks as required, including general office administration duties.
  • Strong interpersonal skills, capable of working collaboratively within a team.
  • Willingness to contribute ideas and support colleagues in achieving shared objectives.
  • Ability to troubleshoot issues and find practical solutions independently.
