Production and Sales Administrator
?? Location: Stowmarket?? Working Hours: Monday to Friday, 8am – 4.30pm?? Salary: £27,000 – £28,000 per annum
We are seeking a proactive and detail-oriented Production and Sales Administrator to lead a small team within our fast-paced sales and production office. This role is pivotal in ensuring smooth administrative operations, with a particular focus on raising purchase orders, supporting procurement, and maintaining accurate records across sales, production, and finance.
Key Responsibilities:
- Raise and manage purchase orders for consumables, production equipment, and facility maintenance materials, ensuring timely procurement and accurate documentation.
- Support the Sales Team with Sales Order processing, ensuring all associated paperwork is completed efficiently.
- Book in materials and maintain clear records to support inventory and production planning.
- Liaise with suppliers and customers over the phone, handling queries and taking messages as needed.
- Coordinate freight bookings and build daily production schedules using our ERP system (Syspro).
- Track inbound shipments, especially from overseas, and update production teams on expected delivery timelines.
- Maintain high-standard inventory records and ensure accurate audit trails for purchasing and sales activities.
- Communicate regularly with our Finance team in the USA to ensure transparency and alignment on procurement and financial records.
- Train and support administrative staff to uphold high standards in PO management and inventory tracking.
- Monitor and manage stationery levels, PPE requests, and petty cash, reporting monthly to USA Finance.
- Assist the Managing Director with aged debt tracking and support payroll processing through accurate overtime records.
- Lead by example to foster a culture of accuracy, timeliness, and health & safety awareness within the admin team.
Skills & Qualifications:
- Strong experience in raising and managing purchase orders and understanding procurement processes.
- Excellent communication skills and proficiency in MS Office & Excel.
- High attention to detail and ability to maintain accurate records.
- Familiarity with inventory management and ERP systems (Syspro experience is a plus).
- Ability to lead a small team and drive process improvements.
- German language skills would be a strong advantage, particularly for liaising with international suppliers and partners.
