Accounts Assistant
  • Location: Southampton
  • Job Type: Full-time, Temporary (4 months)
  • Must be available for the full duration

We are seeking an Accounts Assistant to support the finance department of a vehicle dealership. This role involves managing both purchase and sales ledger functions, ensuring accurate processing of invoices, reconciliation of accounts, and maintaining effective communication with internal departments and external stakeholders.

Day-to-day of the role:

Purchase Ledger Duties:

  • Process high volumes of supplier invoices, including vehicle purchases, parts, and service-related costs.
  • Match invoices to purchase orders and delivery notes.
  • Reconcile supplier statements and resolve discrepancies promptly.
  • Prepare and process weekly/monthly payment runs.
  • Maintain accurate and up-to-date supplier records.
  • Liaise with parts and service departments to resolve invoice queries.

Sales Ledger Duties:

  • Raise and issue customer invoices for vehicle sales, servicing, and parts.
  • Monitor customer accounts and ensure timely collection of outstanding balances.
  • Allocate customer payments and reconcile accounts.
  • Follow up on overdue invoices and assist with credit control activities.
  • Maintain accurate customer records and support query resolution.

General Finance Support:

  • Assist with month-end procedures including accruals, reporting, and ledger reviews.
  • Ensure compliance with internal controls and company policies.
  • Support the wider finance team with ad hoc duties as required.

  • Ability to jump in and help the wider team as required.
Required Skills & Qualifications:
  • Previous experience in a combined purchase and sales ledger role, ideally within the motor trade.
  • Strong attention to detail and accuracy.
  • Good working knowledge of accounting software (e.g., Kerridge, Pinnacle, Sage, or similar).
  • Proficient in Microsoft Excel and other Office applications.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Legal right to work in the UK.
Desirable:
  • Experience with vehicle invoicing and dealership systems.
  • AAT qualification or working towards one.
