Our client is seeking a highly organised individual with a talent for people coordination to manage freelance scheduling in a fast-paced, deadline-driven environment. Ideal candidates will come from events, hospitality, or bookings backgrounds and thrive under pressure.
You'll act as the main point of contact between freelancers and client teams, ensuring the right people are scheduled at the right time — often at short notice. This phone-heavy role requires clear communication, confident follow-up, and strong calendar management.

Key Responsibilities
- Coordinate and book freelance personnel across UK-based and occasional international projects
- Serve as the main point of contact between external teams and freelance specialists
- Monitor and adjust schedules in response to last-minute changes or requirements
- Maintain up-to-date records of freelancer availability, profiles, rates, and compliance documentation
- Ensure all freelancers receive relevant schedules, agreements, travel details, and supporting documentation
- Use scheduling and tracking tools to maintain visibility across ongoing and upcoming projects
- Oversee onboarding processes, contracts, rate cards, and timesheet management
- Liaise with internal teams to align workforce needs with operational planning and logistics
Experience and Skills Requirements
- A natural organiser with razor-sharp attention to detail
- Comfortable managing high volumes of phone communication
- Calm, adaptable and solution-focused under pressure
- Assertive and professional communicator who can build rapport quickly
- Proactive, highly structured, and efficient with time and priorities
