POSITION SUMMARY

As a Paralegal in our Workers' Compensation department, you will play a critical role in ensuring the smooth management and progression of clients' cases. Your responsibilities include communicating with clients, insurance carriers, healthcare providers, attorneys, and the New York State Workers' Compensation Board to facilitate the timely resolution of cases. You are expected to take initiative, manage your responsibilities efficiently, and be accountable for all tasks assigned to you, both explicitly and implicitly. This role requires a thorough understanding of the workers' compensation process and the ability to operate effectively in a high-volume legal environment.

_ RESPONSIBILITIES_

Case Management:

  • Organize and maintain case files in a systematic and efficient manner.
  • Prepare cases for hearings by reviewing files, obtaining necessary documents, and coordinating communications between clients, attorneys, the NYS Workers' Compensation Board, and insurance carriers.
  • Handle claims from inception to resolution, ensuring deadlines and critical milestones are met.

Communication With Client's & Other Related Parties:

  • Maintain frequent contact with clients, attorneys, insurance carriers, medical providers, and the NYS Workers' Compensation Board to ensure the timely advancement of cases.
  • Provide clients with updates on the status of their cases and respond to inquiries in a professional manner.

Document Preparation & Filing:

  • Prepare and send documents and correspondence to insurance carriers, the NYS Workers' Compensation Board, providers, and clients, ensuring compliance with all legal and procedural requirements.
  • Gather relevant documentation from injured workers, including medical records, medical bills, and wage information.

Medical Records & Analysis:

  • Read and comprehend medical records and reports, summarizing key information and identifying potential issues or areas of concern.

Hearings & Legal Proceedings:

  • Request hearings to address unresolved issues or disputes and prepare materials needed for hearings, including evidence and case summaries.

System Utilization & Software:

  • Use the firm's software programs (Smart Advocate, Vonage, Microsoft Office, etc.) in accordance with training to manage cases and perform daily work tasks efficiently.

Workflow Management:

  • Ensure all tasks are completed by assigned due dates, meeting established deadlines.
  • Follow the firm's workers' compensation processes and procedures as outlined during training.
  • Take ownership of assigned tasks while maintaining a high level of organization and accuracy.

Additional Duties:

  • Perform other related duties as assigned by the Director of Workers' Compensation or supervising attorneys.

_ REQUIREMENTS_

Communication Skills:

  • Ability to communicate clearly and concisely, both orally and in writing, with clients, attorneys, insurance carriers, and other related parties.

Technical Proficiency:

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Smart Advocate, and Vonage software.
  • Must be computer-savvy with the ability to learn new software systems as required.

Knowledge of Workers' Compensation Law:

  • Strong understanding of the terminology, forms, and procedures related to New York State Workers' Compensation Law.
  • Previous experience in handling workers' compensation claims or cases is preferred.

Organizational Skills:

  • Ability to multi-task and maintain accuracy and attention to detail while managing multiple cases.
  • Strong time management skills and the ability to meet deadlines in a high-volume environment.

Independence & Teamwork:

  • Ability to work independently, while also collaborating effectively within a team-based structure.
  • Self-motivated with the ability to take initiative and prioritize tasks.

Experience & Education:

  • 1-3 years of experience working at a New York State Workers' Compensation law firm is required.
  • High school diploma or equivalent required; bachelor's degree preferred.

Work Ethic & Focus:

  • Strong work ethic with the ability to focus and maintain concentration in a fast-paced work environment.
  • Must be able to follow direction and work efficiently with minimal supervision.

Physical & Work Environment Requirements:

  • Must be able to maintain focus and manage workload for a full-time shift (at least 40 hours per week).
  • Ability to operate office equipment and manage case files throughout the workday.

  • Ability to handle sensitive and confidential information with discretion.
