Position Summary
The Wellness Coordinator is the first point of contact for prospective guests and plays a vital role in growing the Lume community. This role manages inbound leads, existing client inquiries, and ensures all guests experience Lume's elite patient journey from their first interaction. You will articulate Lume's value proposition as a premium wellness and aesthetics destination and help guide new clients into consultations, memberships, or treatment packages.
This position also includes operational support responsibilities and requires a team player with strong communication, organizational, and sales skills.
Key Responsibilities
Guest Experience & Sales Support
- Answer all inbound calls and ensure backup coverage is in place when unavailable.
- Confidently and clearly communicate Lume's core values and service offerings.
- Provide timely and professional follow-up to leads from all sources (social media, referrals, website, etc.).
- Schedule appointments and consultations while discussing package pricing, benefits, and payment options.
- Qualify prospective guests and match them to appropriate services or memberships.
- Build relationships with current guests to enhance retention and foster referrals.
- Support referral programs and contribute to outreach campaigns.
Consultation & Clinical Support
- Serve as backup to present consultations and close treatment plans when the primary consultant is unavailable.
- Participate in guest consultations with a deep understanding of service options and benefits.
Front Office & MA Operational Duties
- Provide support for room turnover, laundry, cleanliness, and service prep alongside Medical Assistant staff.
- Ensure treatment rooms are guest-ready, maintaining a polished and efficient clinical space.
- Assist in basic front desk responsibilities when needed.
CRM & Communication
- Accurately manage data in CRM and Lume's backend systems, including tracking leads, contacts, and follow-ups.
- Use expert written and verbal communication to interact with guests across platforms (phone, email, text, etc.).
Performance Expectations
- Daily Performance Trackers: Must be completed each day to monitor lead status, outreach, and follow-up activity.
- KPIs: Must meet and maintain role-specific Key Performance Indicators including response time, booking conversion rates, and retention metrics.
Requirements
- Bachelor's Degree (required)
- Experience in Medical Spa, Aesthetics, or Health & Wellness highly preferred
- Proven experience in sales, client service, or customer service preferred
- Outstanding written and verbal communication skills
- Highly organized, detail-oriented, and tech-savvy
- Ability to manage multiple conversations and tasks simultaneously
- Warm, professional presence with natural hospitality instincts
- Ability to work in a fast-paced, evolving environment and adapt to internal workflows
- Experience with CRM software and knowledge of business administration is a plus

Job Type: Full-time
Pay: $30.00 - $40.00 per hour; performance bonus opportunities
Expected hours: 30 – 40 per week
