Job Summary:
- The ideal candidate for this role must be highly organized and personable. The Wedding Coordinator will play a key role in ensuring that every couple's wedding day is seamless, memorable, and stress-free. From the initial tour and planning stages to the final send-off, this role involves coordinating all aspects of the event, managing vendors, and providing exceptional service to clients. This position is full-time Wednesday to Sunday.
Key Responsibilities:
- Client Consultation/Sales Tour
- Meet with clients to understand their vision, preferences, and budget.
- Provide guidance about the wedding package, timelines, pricing, and vendor selection.
- Planning and Coordination
- Primary point of contact for all weddings you book unless advised otherwise.
- Create detailed documents (BEO) for wedding day events.
- Manage contract, invoice, and payments for all clients.
- Coordinate with staff, vendors, and service providers to ensure smooth operations.
- Oversee the setup and breakdown of the dcor items that we are responsible for, such as the seating chart, all signage, the guest book, the card holder, and photos around the venue. We are not responsible for the setup and breakdown of the ceremony arrangements or the ballroom table dcor.
- Day-Of Coordination
- Serve as the primary point of contact for the couple, vendors, and guests.
- Ensure adherence to the event timeline.
- Troubleshoot any issues that arise during the event to ensure a seamless experience.
- Take on the responsibilities of Suite or Lounge Attendant in emergency situations; when you are not assigned to the couple getting married.
- Vendor Management
- Ensure that all vendors have submitted a copy of their insurance and are aware of all company policies and procedures.
- Confirm the arrival time for all vendors.
- Client Support
- Provide ongoing support and communication throughout the planning process.
- Manage the upkeep of each couple's contract, upgrades, and invoice.
- Offer creative idea and solutions to meet clients' needs and expectations.
Qualifications:
- Exceptional organizational and time management skills.
- Strong interpersonal and communication abilities.
- Ability to remain calm under pressure and to solve problems efficiently.
- Proficiency in event planning software (Tripleseat) and Microsoft Office, and Monday.com
- Knowledge of wedding traditions, customs, and trends is a plus.
