Job Title: Warranty Administrator Location: Scenic Ford Reports To: Service Manager

Position Summary

Scenic Ford is seeking a detail-oriented and organized Warranty Administrator to join our Service Department. The Warranty Administrator is responsible for processing, submitting, and following up on all warranty claims to ensure timely reimbursement from the manufacturer. This role plays a critical part in maintaining dealership profitability and compliance while supporting our service team and customers.

Key Responsibilities
  • Prepare, submit, and track all manufacturer warranty claims accurately and in compliance with Ford Motor Company guidelines.

  • Review repair orders for completeness, accuracy, and eligibility before submission.

  • Monitor claim status and resolve any discrepancies or rejections in a timely manner.

  • Maintain organized records of all warranty transactions, credits, and chargebacks.

  • Communicate with Ford Motor Company representatives to resolve warranty issues.

  • Work closely with Service Advisors, Technicians, and the Service Manager to ensure warranty documentation is complete and compliant.

  • Keep current on Ford policies, programs, and updates to warranty guidelines.

  • Prepare reports for management regarding warranty activity and reimbursement performance.

  • Assist in training service personnel on proper documentation for warranty coverage.

  • Maintain confidentiality of customer and dealership records.

Qualifications
  • Previous experience as a Warranty Administrator or Service Department role in an automotive dealership (Ford experience strongly preferred).

  • Strong knowledge of Ford Motor Company warranty policies and procedures.

  • Excellent organizational and time management skills.

  • Proficiency with dealership management systems (CDK, Reynolds & Reynolds, or similar).

  • Strong attention to detail with a high level of accuracy.

  • Effective communication skills, both written and verbal.

  • Ability to work independently and as part of a team in a fast-paced environment.
