About the Organization Appalachia Service Project, Inc. About the Position The Volunteer Specialist reports to the Director of Volunteers and is responsible for a variety of assignments in support of the functions and responsibilities of the Volunteer Department. They facilitate and manage the registration process for ASP volunteers and coordinate communications, resulting in well-prepared volunteer groups. This includes the set up and management of volunteer events and schedules within ASP's online registration system; maintenance of volunteer and group databases; volunteer communications; and gathering feedback from volunteer groups as input for continuous improvement. Job Responsibilities
- Coordinate all aspects of volunteer registrations for Summer, Year-Round, Service Area Volunteer, Disaster Recovery, and New Build programs
- Manage and coordinate registration event set-up, scheduling, and placement of registered groups in collaboration with the Ministries Department to ensure efficient use of ASP resources
- Monitor and manage the volunteer process from registration to deployment
- Process all registrations and follow up as necessary
- Manage and maintain group and volunteer database(s) ensuring all info is current
- Process summer group post trip paperwork resulting in accuracy of actual group counts
- Primary point of contact for inbound calls and emails from current volunteers
- Serve as one point of contact for new leads received via phone and email by sending them requested info and following up on their interest
- Assist with outbound phone calls and emails to returning groups, lapsed groups, and to potential new groups
- Manage and generate pre-trip communication to ensure well-prepared groups
- Assist with planning and implementation of the program calendar timelines, working with other staff to meet the established deadlines
Qualifications Required:
- Bachelor's degree
- Customer service experience
- Customer-focused approach when relating to current and potential volunteers
- Experience using a CRM system
- Proficiency with Office 365 Suite
- Strong analytical and problem-solving skills
- Exceptional written and verbal communication skills
- Ability to manage multiple projects at the same time
- Highly organized, with excellent follow-up skills and attention to detail
- Experience working in a team environment
- Ability to work remotely as needed in the event of unexpected office closure
Desired:
- Experience with HubSpot or Skycog

- Desire to serve others by working in a Christian environment
- Valid driver's license and safe driving history
