General Summary: The Vaccine Coordinator serves as the subject matter expert (SME) for all vaccine-related activities across Four Rivers Community Health Center (FQHC), ensuring optimal coordination, compliance, and education related to both Vaccines for Children (VFC) and private vaccine programs. This role oversees vaccine inventory, ordering, storage, and administration protocols at all sites, and acts as the central liaison between clinical staff, the Missouri Department of Health, and our third-party private vaccine vendor, VaxCare.
Essential Job Responsibilities:
Duties are:
· Act as the primary point of contact and SME for all vaccine-related matters across the organization.
· Manage enrollment, compliance, and reporting requirements for the VFC program at each eligible site.
· Oversee and coordinate the use of VaxCare for private vaccine administration, ensuring accurate billing, documentation, and inventory reconciliation.
· Monitor and maintain vaccine inventory, including ordering, receiving, and proper cold chain storage across all locations.
· Conduct routine audits of vaccine logs, temperature monitoring records, and storage units to ensure regulatory compliance.
· Develop and implement protocols and training related to vaccine administration, documentation, and handling in collaboration with clinical leadership.
· Serve as the lead resource for staff questions regarding vaccine schedules, indications, and product availability.
· Coordinate and prepare for site visits, inspections, and audits related to VFC and private vaccine programs.
· Maintain current knowledge of CDC guidelines, state immunization program requirements, and best practices in vaccine management.
· Generate reports as needed for internal use and external regulatory agencies.
· Collaborate with providers and care teams to identify opportunities to improve immunization rates among patient populations.
· Participate in quality improvement initiatives related to vaccine services.
· Support Pharmacy Services Team in required 340B tasks as assigned, including but not limited to clinic administered 340B inventory at each site.
· Support In House Pharmacy staff with pharmacy technician skills as needed
Qualifications
· High school diploma or equivalent required; Associate or Bachelor's degree in health sciences, pharmacy technician certification, or related field preferred.
· Minimum of 2 years experience in a clinical or pharmacy setting, with vaccine handling experience strongly preferred.
· Familiarity with VFC program requirements and vaccine billing processes, including third-party systems like VaxCare.
· Strong organizational and communication skills with attention to detail and accuracy.
· Ability to train and support multidisciplinary teams across multiple sites.
· Proficient in Microsoft Office Suite and electronic health record systems (eCW experience a plus).
· Must be able to travel between health center sites as needed.
