The VA Certifying Official & Compliance Coordinator is a critical compliance role responsible for managing the full lifecycle of VA education benefits while supporting institutional compliance functions. This dual-capacity position oversees advising for prospective military and veteran students, certifying benefits, and ensuring strict adherence to federal regulations across all VA education chapters. Additionally, the role coordinates compliance efforts by monitoring regulatory changes, preparing audit materials, and ensuring institutional policies remain up to date.
Serving as the primary liaison between CalMU and the U.S. Department of Veterans Affairs, this individual will also collaborate with internal teams to strengthen compliance processes university-wide. The position requires exceptional attention to detail, discretion, strong communication skills, and proficiency with platforms such as VA Enrollment Manager, Tungsten, and other related systems.
Key Responsibilities
- Serve as the primary point of contact for all VA education benefit matters.
- Certify enrollments, updates, and terminations using VA Enrollment Manager and other VA platforms.
- Provide comprehensive pre-enrollment advisement to prospective veteran and military students.
- Ensure full compliance with federal regulations, accreditation standards, and institutional policies related to veteran benefits.
- Collaborate with Registrar, Financial Aid, Admissions, and Finance teams to ensure timely processing of certifications and tuition billing.
- Maintain detailed, accurate student and certification records for audits and reporting.
- Monitor changes in VA policies and update procedures accordingly.
- Prepare data reports and maintain certification tracking spreadsheets.
- Assist with broader compliance coordination, including internal audits, policy updates, and support during accreditation reviews.
- Promote a culture of compliance and integrity across the institution.
Schedule: Monday–Thursday, 10:00 a.m. to 6:30 p.m. and Friday, 9:00 a.m. to 5:30 p.m.
Required Qualifications
- Minimum 2 years of experience working as a VA Certifying Official or Higher Ed Compliance Coordinator.
- Bachelor's degree in Education, Business, Public Administration, or a related field.
- Proficiency with VA Enrollment Manager, Tungsten, and other relevant VA platforms.
- Strong understanding of VA educational benefit chapters and compliance guidelines for veteran students.
- Exceptional attention to detail, organizational skills, and ability to meet deadlines.
- Ability to handle sensitive information confidentially, in compliance with FERPA and VA privacy standards.
Preferred Qualifications
- Experience with student information systems (CampusVue or similar).
- Completion of VA School Certifying Official (SCO) Training and FERPA Training.
- Previous compliance coordination experience in higher education.
Technical Skills
- Proficient in VA systems (Enrollment Manager, Tungsten, WEAMS, VA Once).
- Strong use of CampusVue or other SIS for enrollment and credit audits.
- Skilled in Microsoft Excel, Adobe Acrobat Pro, Word, and Google Sheets for tracking and reporting.
- Familiarity with CRM tools (e.g., HubSpot) and Microsoft Outlook/Teams for communication.
