Family Health Centers at NYU Langone is the largest federally qualified health center network in New York State, and the second largest in the nation. It includes eight primary care sites, 40 school-based health centers and dental clinics, four day care centers, the nation's largest dental residency program, and New York State's largest behavioral health program. The network also includes 12 community medicine sites providing care to disenfranchised New Yorkers, comprehensive HIV services, chemical dependency programs, and a family support center that offers educational, vocational, and other social support programs.

Position Summary:

We have an exciting opportunity to join our team as a Treatment Coordinator - Brooklyn. In this role, the successful candidate will report to the Clinical Director of Operations with oversight and direction from the Associate Director(s). The Treatment Coordinator is responsible for dental program administrative duties and clinical coordination of pediatric patients in Brooklyn.

Job Responsibilities:

Program:

  • Provides support and meets regularly with the Associate Program Director(s)
  • Provides administrative support to residents
  • Coordinates local educational activities
  • May assist with proctoring exams
  • Supports Associate Director(s) with New Innovations software for the site, including block schedules, evaluations, semi-annual reviews, milestones, advancement/onboarding/graduating residents (checklists and reminders), etc.
  • Manages resident time keeping
  • Supports with annual block schedule and call schedules in conjunction with Associate Director(s)
  • Supports Associate Director(s) to ensure residents meet requirements for graduation
  • Plans departmental annual events including orientation and interviews
  • Assists in monitoring residents duty hours and operative/case experience via regular review of data reports
  • Responsible for answering calls/emails within a 48 hour period
  • Transcribes, types, and/or proofs a variety of materials: correspondences, letters, resident related material, spreadsheets, reports, surveys, meeting minutes, etc.
  • Creates presentations (PowerPoint) and spreadsheets (Excel) as requested
  • Performs other duties as assigned by the Associate Director(s)

Clinical:

  • Work up Operating Room (OR) cases with residents and independently
  • Get Insurance approvals/pre-authorizations for the OR cases
  • Schedule cases with OR and act as liaison between OR and residents/attendings on all communications
  • Coordinate and schedule pre-op visits and all follow-up visits
  • Coordinate PMD, specialty, and hospital clearances
  • Coordinate cases with other medical and dental specialties
  • Manage OR wait list with Associate Director(s)
  • Scan any paperwork into medical record as assigned
  • Communicate with patients and families as needed for above
  • Get Insurance approvals and authorizations for the Sedation cases
  • Schedule cases for Sedation
  • Coordinate and schedule pre-op visits and all follow-up visits
  • Coordinate PMD, specialty, and hospital clearances
  • Coordinate cases with other medical and dental specialties
  • Manage Sedation wait list with Associate Director(s)
  • Scan any paperwork into medical record as assigned
  • Communicate with patients and families as needed for above
  • Manage the log of cases for appliance fabrication sent to lab and received from lab and coordinate appointments for delivery of the appliances
  • Coordinate scheduling of A/C
  • Follow up with missed visits and reschedule as needed
  • Participate in department meetings as assigned
  • Coordinate scheduling of complex cases with other medical and dental providers
  • Generate sealant lists and follow up with patients needing sealants
  • Coordinate rotation schedules with Associate Director(s)
  • Follow up on approvals for pediatric dental cases and schedule visits as needed for continuity of care
  • Follow up for Orthodontic referrals for care coordination
  • Follow up and scheduling for Orthodontic appointments for continuity of care
  • Follow up and scheduling for Endodontic treated pediatric patients for continuity of care
  • Follow up and scheduling for Oral Surgery pediatric patients for continuity of care
  • Follow up and communicate with assigned patients as needed
Minimum Qualifications:

To qualify you must have a Bachelors degree in Healthcare Administration or related field or 3-5 years of office administration experience. Excellent written and verbal communication skills. Ability to organize information. Ability to handle sensitive information with absolute confidentiality. Working knowledge of software applications including Microsoft Suite. Ability to make decisions independently or to escalate issues as needed.

Preferred Qualifications:

FQHC or Hospital experience preferred. Experience working with New Innovations preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $50,219.83 - $53,233.02 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
