Position: Travel Desk Specialist

Location: Onsite: White Plains, NY 10601

Duration: 12+ months contract with possibility of extension

Shift timing: Monday- Friday: 1st Shift (7.5 hour paid work day with .5 hour unpaid lunch)

Pay Rate: $23/hr on W2

Project Overview:

The Travel Desk Specialist will provide support to the NYPA Travel department.

Job Functions & Responsibilities:

  • Support daily activities: monitor the Travel Desk Inbox; answer the Travel Desk phone; assist customers with travel and non-travel related questions; prepare travel related documents/reports/spreadsheets; other administrative duties as assigned.
  • Assist with Out of State travel requests including online searching for specific conferences and booking of hotels directly within the provided conference link.
  • Provide travel request status updates to customers.
  • Collaborate with Site EAs and WPO Department Admins on preparation of spreadsheets that contain relevant travel data for group travel requests.
  • Review/dispatch in-state travel requests – review/identify missing information on submitted travel forms, e.g., dates, location; travel rejections; duplicated requests; fielding requests that need to be escalated for manager approval; dispatching requests to appropriate travel agents.
  • Assist new customers – explain travel profile and assist customer with completion; provide guidance on Travel Policy and Procedure and standard travel protocols.
  • On day-of cancellations due to weather or other emerging situations or other date changes, contact hotels to cancel travel arrangements.
  • Collection of necessary paperwork required by Travel Agents to update post-dated travel invoices.

Skills:

  • Exceptional organizational and time-management skills to handle multiple tasks and prioritize effectively.
  • Excellent written and verbal communication skills as the Travel Desk interacts with every level of management.
  • Professional demeanor.
  • Must be familiar with MS Office Suite of applications and other relevant office applications.
  • Travel application experience (SABRE/ARC/TRAMS) not required.

Education & Certifications:

  • 2-4 year degree or equivalent experience
