Location: Mecklenburg County Public Schools, Transportation Department

Job Type: Full-Time, 12-Month Position

Reports To: Transportation Supervisor

Job Summary:

The Secretary for the Mecklenburg County Schools Transportation Office provides administrative and clerical support to ensure the efficient operation of the transportation department. This position involves interaction with staff, drivers, school personnel, parents, and vendors to support the safe and timely transportation of students.

Key Responsibilities:

* Serve as the primary administrative support for the Transportation Department.

* Answer phones, respond to emails, and handle walk-in inquiries with professionalism.

* Maintain and update transportation records, including driver files, vehicle logs, and route schedules.

* Assist with scheduling and coordinating training sessions, meetings, and interviews for transportation staff.

* Prepare and distribute correspondence, reports, memos, and meeting agendas.

* Track and record employee attendance, certifications, and other compliance-related documentation.

* Support payroll and timekeeping processes by verifying hours and entering data.

* Handle confidential information in a professional and discreet manner.

* Assist with routing and dispatching duties during peak times or in emergencies.

* Coordinate maintenance requests and communicate with fleet services as needed.

* Maintain office supplies and manage inventory for the transportation office.

Qualifications:

Education & Experience:

* High school diploma or GED required; associate degree or some college preferred.

* Minimum of 2 years of clerical or administrative experience, preferably in a school or transportation setting.

Skills & Competencies:

* Excellent organizational and multitasking skills.

* Strong written and verbal communication abilities.

* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

* Ability to learn transportation routing software and student information systems.

* Exceptional customer service and interpersonal skills.

* Ability to work independently and as part of a team.

Working Conditions:

* Office setting within the school transportation department.

* Some flexibility may be required during peak school start/end times.

* Occasional travel between district locations may be needed.
