Reports to: Director of Corporate Services Department: Corporate Services FLSA Status: Non-Exempt / Temporary Time Frame: Immediately through 9/9/2025 Summary: This position will support the New York office in various customer services duties in connection with reception and facilities related matters. All materials and information obtained during the course of business is to be handled with sensitivity and discretion. The Receptionist will ensure the health, safety, and protection of the firm's proprietary information and will escalate any relevant questions or concerns to either the Director of Corporate Services or a member of leadership for guidance as required. RequirementsEssential Duties and Responsibilities: The following duties and responsibilities are generally representative of the nature and level of work assigned and are not necessarily all inclusive: Reception:
- Greet firm guests and visitors in a professional and engaging manner offering a beverage and call the person with whom they are meeting
- Check voicemails left in general mailbox
- Interact with all vendors and direct to appropriate area of service
- Ensure reception area is tidy, fluffing pillows and removing dishes and trash from the tables
- Enter visitors in the building's visitor management system
- Check conference rooms frequently to reset chairs and remove any trash or papers. Also, monitor the carpets - if there is a stain, clean it using the carpet cleaner.
Office Services
- Maintain inventory of office and pantry supplies and place reorders as directed
- Ensure beverages are stocked in the refrigerators
- Carefully sort mail and identify envelopes contain checks. Use judgment to discern the proper recipient should the envelope not be clearly marked. NOTE: ALL CHECKS ARE TO BE SENT TO TREASURY VIA FEDEX, NO EXCEPTIONS
- Accept business and employees' personal packages and notify/deliver in a timely fashion
- Routinely check common area spaces for tidiness (restrooms, used glasses and dishes, left in conference rooms)
- Take all outgoing mail and FedEx items to the designated area in the building
- Check restrooms to ensure that they are clean
- Inform Vice President of Corporate Services with any repairs or maintenance before placing the request
- Ensure the kitchen sink is empty before the end of the shift
- Load and empty the dishwasher
Meetings
- Be prepared to set up meetings with beverages and catering and clean up after
- If breakfast or lunch is requested, contact a local restaurant and note the following for accounting:
- Name of the requestor
- Name of the client (firm and attendees)
Administrative
- Calendar management, travel, and expenses will likely be managed remotely, but other administrative duties may be required.
- Print and bind documents using the office binding machine
- Prepare FedEx shipping
- Assist incoming Kayne employees with ad hoc requests
- Coordinate with Lisa Esposito, GSA Executive Assistant, including booking conference room for meetings or their overflow staff
Ad Hoc
- The Receptionist may from time to time be asked to assist in various projects not included in the lists above.
Qualifications
- Must have computer and data entry skills
- Ability to remain at the reception desk for protracted amount of time on a daily basis
- Able to lift up to 15 pounds
- Handle multiple projects at one time
- Work well with others and as a team player
- Assertive and resourceful; self-motivated; willing to ask questions and take initiative
- Consistently demonstrates professional demeanor, appearance and attitude
- Proven ability to remain calm under pressure; resilient
- Able to appropriately handle confidential and highly sensitive material

- Compensation: $36/hour
