Job #: 204598 Title: Temporary Part Time Office Assistant Location: Utica, NY Salary Range: $16.50/hour Position: Office Assistant Description: Temporary Part Time Office Assistant Utica Mondays, Wednesdays and Fridays 8am-1pm $16.50/hour. The assignment will last for approximately 60 days STATEMENT OF PURPOSE Assist the Business Office with data entry, filing, organizing, mailing, and any other office task as needed. GENERAL REQUIREMENTS Requires a high level of discretion and confidentiality, dependability, self-motivation and independence, teamwork, communication, organizational skills, intermediate computer skills, time management, task flexibility, follow-through and attention to detail. Must be able to work under pressure while juggling changing priorities and needs. KEY JOB ELEMENTS Provide general office assistance to staff as needed. Assist the office with document filing, organizing, sorting, locating, scanning and dispersing. Process data entry tasks in software for accounts receivable and accounts payable, as needed. Look up, verify and enter transactions and adjusting entries for customer and vendor accounts. Look up and code insurance remittances. Enter cash flows and credits for differences as needed. Complete miscellaneous and recurring billings. Provide assistance to the Business Office Manager with general communications and requests. Adapt to change and complete all other duties as assigned by supervisor. COMMUNICATION SKILLS Must have excellent listening skills and the ability to effectively respond to a variety of requests. Must be able to accurately take messages, complete all required documentation and effectively articulate and communicate clearly and calmly during stressful situations. COMPUTER/TECHNICAL SKILLS Must have good typing and data entry skills and experience with spreadsheets and word processing. Must be willing to learn new technologies such as Microsoft Office Suite and have good security practices for sensitive information. REASONING ABILITY Must have ability to define problems, collect data, establish facts and draw valid conclusions. Must be able to interpret a wide variety of handwritten reports and recognize erroneous data. Must be able to prioritize demands and respond accordingly. Must maintain a strict adherence to the company's mission statement and core values. PHYSICAL DEMANDS 90% of job requires sitting. Routinely required to talk and hear. WORK ENVIRONMENT In-house position. Noise level is moderate. EDUCATION and/or EXPERIENCE Minimum of high school diploma or equivalent required. Associate degree in related field preferred.
