SUMMARY

Provide general clerical and administrative support required to keep regional offices operating efficiently. Support business development, marketing, and educational planning functions in an administrative capacity. Assist staff in the preparation of technical documents for delivery to clients including reports, spreadsheet formatting and data entry, and other technical documents in support of environmental regulatory requirements.

FLSA : This position is non-exempt

Location: Pittsburgh, PA

Role: Providing high quality administrative & technical support to staff in day to day operations including assisting in the preparation of proposals and reports, planning and execution of meetings and webinars for business development, marketing at trade shows and conferences and day to day office operations.

Requirements

  • Minimum 1-year experience in administrative support, marketing, customer service, or data analysis.
  • Excellent problem solving, time management, and organizational skills.
  • Ability to prioritize time critical assignments
  • Excellent communication skills - both written and oral.
  • Proficiency in Microsoft Office Suite and SharePoint
  • Demonstrated proficiency with a variety of virtual meeting technologies
  • Demonstrated ability to work effectively in an environment that requires frequent interactions and multitasking with customers and coworkers.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to carry out instructions provided in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to adapt to changing priorities and maintain a productive and committed work effort, meeting deadlines and managing workload.
  • Desire to learn and grow within the organization.
  • Associates Degree in Business Administration, Marketing etc.

Business Development and Marketing Duties

  • Maintain customer relationship management (CRM) system, i.e. Deltek Vantagepoint
  • Lead entry of local course information into training management system
  • Assist in preparation of electronic client outreach emails.
  • Assist in planning and organizing local/regional marketing events luncheons, webinars, courses, and other events.
  • Assist technical staff with preparation and development of proposals, Statement of Qualification (SOQ), and other marketing material efforts.
  • Coordinate regional trade shows, and assist in pre-show and post-show follow-up, and assist in manning trade show booths as directed.

Technical Project Duties

  • Preparation of project and course binders, as well as other deliverables.
  • Prepare periodic reports for various overhead and client related activities.
  • Manage office supplies, mail, and shipments.
  • Assist the consultants with project work including tasks such as report writing and data entry.
  • Lead editing, formatting, and styling of project reports and PowerPoint presentations for consistent, professional appearance
  • General data entry.
  • Organize various office activities such as team get together, holiday parties, etc.
  • Maintain ISO file structure
  • Assist with answering phones and communication with clients
  • Assist with coordinating all travel for the local office
